Automatically add PDF's to Static PDF products using the Excel import tool | BG_058

In this tutorial, we will learn how we can use an Excel datasheet to quickly and efficiently upload PDF's to Static PDF documents on mass. This functionality ensures that all products requiring a PDF can have it assigned in the shortest possible time, without having to individually upload PDF's to each product. Whilst we will focus on PDFs and Static PDF products in this tutorial, the same methodology also applies to MegaEdit products, where a .mex file from Infigo Invent can be used in place of the PDF file.

00:00:05:15 - 00:00:08:23
In this tutorial, we'll
learn how we can use an Excel data sheet

00:00:08:23 - 00:00:14:00
to quickly and efficiently upload PDFs
to static PDF products en masse.

00:00:14:20 - 00:00:18:05
This functionality ensures
that all products requiring a PDF

00:00:18:05 - 00:00:21:05
can have it assigned
in the shortest possible time

00:00:21:07 - 00:00:24:26
without having to individually upload PDFs
to each product.

00:00:25:24 - 00:00:30:10
Whilst we will focus on PDFs
and static PDF products in this tutorial,

00:00:30:19 - 00:00:33:26
the same methodology
also applies to MegaEdit products

00:00:34:04 - 00:00:37:23
where a mex file from Infigo
Invent can be used

00:00:38:01 - 00:00:41:01
in the place of a PDF file.

00:00:42:05 - 00:00:45:04
We're going to begin
by navigating to an area of our Infigo

00:00:45:04 - 00:00:48:04
admin called upload folders.

00:00:50:16 - 00:00:51:15
This functionality

00:00:51:15 - 00:00:55:04
relies on the PDFs being available
within the Infigo system.

00:00:55:12 - 00:00:59:00
We can accomplish this by using an area
named upload folders,

00:00:59:09 - 00:01:02:14
which allows us to upload files
to the system en masse.

00:01:03:06 - 00:01:05:29
If you can't access the Upload
Folders area,

00:01:05:29 - 00:01:08:29
it may need to be granted
permission from our side.

00:01:09:08 - 00:01:12:04
So please contact customer support
who will be happy to help.

00:01:16:01 - 00:01:19:06
So in this page you can
see I've already got a few sample upload

00:01:19:07 - 00:01:22:13
folders created
or I can create a new upload

00:01:22:13 - 00:01:25:13
location,

00:01:25:21 - 00:01:27:25
fill in the required information

00:01:27:25 - 00:01:30:25
and then press, insert.

00:01:36:16 - 00:01:39:16
Now in my case,
I've got one already set up as an example.

00:01:40:07 - 00:01:43:07
I'm going to utilize my sample PDF upload

00:01:43:17 - 00:01:46:22
and then I'm going to go ahead
and click on Manage and that will take me

00:01:46:22 - 00:01:49:22
to the actual contents
of that upload folder.

00:01:51:24 - 00:01:53:27
And all we want to do is either
click on upload

00:01:53:27 - 00:01:57:12
or simply drag
and drop files into this folder.

00:01:58:13 - 00:02:01:07
You can also create subdirectories
if required

00:02:01:07 - 00:02:04:07
using the new folder icon.

00:02:11:24 - 00:02:14:24
I have a folder open here
with a couple of PDFs.

00:02:15:10 - 00:02:18:07
I'm just going to drag
and drop those into our upload folder.

00:02:27:02 - 00:02:27:25
Next, we're going to

00:02:27:25 - 00:02:31:10
obtain the template
required for our product Excel sheet.

00:02:31:27 - 00:02:34:27
This can be done
from within product management.

00:02:39:01 - 00:02:39:10
We see

00:02:39:10 - 00:02:42:22
we've got our full list of products
that are available on our storefront,

00:02:43:04 - 00:02:46:04
and I'm going to click on Export to Excel.

00:02:46:23 - 00:02:49:02
This will give us a full list of details

00:02:49:02 - 00:02:51:27
for each product
already listed on the storefront.

00:02:51:27 - 00:02:54:21
We can perform two tasks using this sheet.

00:02:54:21 - 00:02:58:04
We can either modify existing products
or detail new products

00:02:58:04 - 00:03:01:04
by adding new line entries.

00:03:02:09 - 00:03:04:11
Once that's ready,
I can click on the download button

00:03:04:11 - 00:03:07:11
that appears in the pop up

00:03:09:24 - 00:03:11:10
and load that sheet.

00:03:11:10 - 00:03:14:16
Okay, so as I mentioned,
we can just modify existing products

00:03:14:16 - 00:03:17:16
or we can just utilize the format
of this data sheet

00:03:17:25 - 00:03:20:25
and then add new lines in here
to create new products.

00:03:21:00 - 00:03:23:14
You don't need to have
all of the products listed in here.

00:03:23:14 - 00:03:27:06
It's not as if once we re-import this,
if it's missing products, it's

00:03:27:06 - 00:03:29:01
not going to delete them from your system.

00:03:29:01 - 00:03:32:13
It just will not touch them. So I've got a

00:03:33:17 - 00:03:36:12
an alternate sample sheet here

00:03:36:12 - 00:03:40:13
where I've utilized the same format,
but just added a few new rows

00:03:40:21 - 00:03:44:01
to detail some of our additional products
that we want to add.

00:03:47:13 - 00:03:48:11
Now we want to make sure

00:03:48:11 - 00:03:51:16
that this is a relevant product
for uploading a PDF.

00:03:52:00 - 00:03:57:10
So the first thing we need to make sure
is that the products are set to static PDF

00:03:57:18 - 00:04:00:18
under the product type column

00:04:07:01 - 00:04:07:20
and I will ensure

00:04:07:20 - 00:04:10:20
that they are the correct product type.

00:04:13:16 - 00:04:17:12
If you're adding new products
which don't already exist in the system,

00:04:18:11 - 00:04:22:02
you can leave the product ID column,
which is column A blank.

00:04:22:19 - 00:04:26:07
This is the unique identifier
for any product and will be generated

00:04:26:07 - 00:04:29:07
automatically
when you import the Excel sheet.

00:04:34:25 - 00:04:37:25
So with this done,
we need to actually add a new column

00:04:37:28 - 00:04:40:28
at the end of the sheet
to handle the loaded PDF.

00:04:42:08 - 00:04:44:04
So add an additional column titled

00:04:44:04 - 00:04:47:12
Product Assets
at the end of the Excel sheet.

00:04:48:04 - 00:04:51:27
This column will be populated
with the exact name of the PDF files

00:04:51:27 - 00:04:55:22
in the upload folder
and should include the dot PDF extension.

00:04:56:24 - 00:05:00:16
So here for example,
we've got one dot PDF, two dot PDF

00:05:00:27 - 00:05:03:27
and so on.

00:05:09:18 - 00:05:09:28
Make sure

00:05:09:28 - 00:05:12:28
that saved
and I'm going to head back into Infigo

00:05:13:13 - 00:05:16:03
And now we're going to re-import
that Excel sheet.

00:05:16:03 - 00:05:18:06
So back to my product management screen.

00:05:18:06 - 00:05:21:06
Import from Excel.

00:05:23:24 - 00:05:26:24
Choose
the Excel file that we wish to upload

00:05:27:27 - 00:05:30:27
and then we need to select
the relevant upload location.

00:05:31:03 - 00:05:35:06
So from within the upload location
setting here, select

00:05:35:06 - 00:05:38:26
the relevant upload folder
that we've uploaded our PDFs to.

00:05:46:15 - 00:05:48:24
We do note
that there are some additional columns

00:05:48:24 - 00:05:51:27
and additional things that can be included
in those specialist columns.

00:05:52:08 - 00:05:56:23
So if you're looking to do something more
advanced with this import functionality,

00:05:56:27 - 00:05:59:15
please take a look at the information
that's listed on the screen here.

00:06:00:24 - 00:06:03:24
Once everything's
been done, click on Imports from Excel

00:06:03:28 - 00:06:06:22
that will go ahead
and create those products for us and we'll

00:06:06:22 - 00:06:10:01
automatically assign
those PDFs to those products.

00:06:10:01 - 00:06:12:12
So I'm just going to filter down
this list of products.

00:06:12:12 - 00:06:15:12
I think I named my PDF.

00:06:19:22 - 00:06:21:27
We can see here
the latest ones that we imported.

00:06:21:27 - 00:06:26:05
So based on my data sheet,
I asked it to create products

00:06:28:27 - 00:06:30:24
16 to 20 brand new.

00:06:30:24 - 00:06:33:29
You can see those have been created
and we've got an image

00:06:33:29 - 00:06:37:04
associated with them which does suggest
that the PDF has been included.

00:06:37:27 - 00:06:40:27
I can double
check this by clicking on static PDF

00:06:40:29 - 00:06:43:21
and then I'll be able to download the PDF
that's associated

00:06:43:21 - 00:06:46:21
with that product.

00:06:52:04 - 00:06:55:11
Okay, so let's quickly
navigate back to upload folders

00:06:56:16 - 00:06:58:27
and then
click on Manage next to the same upload

00:06:58:27 - 00:07:01:27
folder that we utilized a moment ago.

00:07:02:21 - 00:07:05:16
Now you will see that the upload folder
is now empty.

00:07:05:16 - 00:07:07:18
Once utilized by the Excel imports.

00:07:07:18 - 00:07:11:20
The PDFs are removed from the upload
folder, so ready for the next batch

00:07:11:20 - 00:07:12:18
should you need to use them.
