Scenario 1: How to Activate and Use the Quotes Feature

Problem: You want to activate and start using the Quotes functionality for customer interactions. 

Solution:

  1. Navigate to Customer Settings in the Admin panel.
  2. Check the Show quote area option to activate the "Saved Quotes" section in the customer account.

  3. For specific products, go to Product Variant > Info and enable Require Quote.
    1. Save the settings and verify that customers can access the "Saved Quotes" section.

Scenario 2: Creating a Quote for a Customer

Problem: You need to generate a quote manually for a product for a particular customer. 

Solution:

  1. Whilst logged in as an administrator, navigate to the Customer Management screen and Impersonate the required user. This will launch the front end of the storefront and allow you to navigate and place orders as that customer.
  2. Launch or navigate to the product for which the quote is needed.
  3. Select the required attributes and quantity, then click Quote.
  4. If configured, enter a reference name or detail.
  5. Click Save Quote.
  6. A popup may appear showing a direct URL to the quote, price, and an option to email it.
  7. Access the Saved Quotes tab via the popup or through the header navigation.
  8. From the Saved Quotes tab, you can email, delete, or open the quote as needed.

Scenario 3: Managing and Utilizing Saved Quotes

Problem: You want to manage and use previously saved quotes as the customer. 

Solution:

  1. Navigate to the Saved Quotes tab within the customer account area.
  2. Select the desired quote to view details.
  3. Options include emailing, deleting, or adding the quote to the shopping cart.
  4. Note: Quantity and attribute adjustments might be locked unless configured otherwise in the Quotes settings.

Scenario 4: Customer Creating Quotes Themselves

Problem: You want to allow customers to create their own quotes directly for products they are interested in.

Solution:

  1. Log into the Storefront as a Customer.
    • Ensure the customer is logged in and has the appropriate permissions if required.
  2. Navigate to the Desired Product Page.
    • Customers should select the product they wish to receive a quote for.
  3. Select Product Attributes and Quantity.
    • Configure any relevant options such as size, material, or other attributes available for the product.
    • Upload or create any required artwork.
  4. Click on the "Quote" Button.
    • This option must be enabled in the settings (as covered in previous scenarios). If not visible, check with the storefront administrator to ensure the Show quote area and Require Quote settings are properly configured.
  5. Fill Out the Quote Details (If Required).
    • If prompted, the customer can input a reference name or additional details for the quote.
  6. Save the Quote.
    • Clicking Save Quote will store the quote in their account, making it accessible from their Saved Quotes tab.
  7. Access Saved Quotes.
    • Customers can view their saved quotes by navigating to the My Account area and selecting the Saved Quotes tab. Here, they can review, email, delete, or use the quote.

 

Scenario 5: Managing Customer Quotes Using the "Quotes" Tab in Admin

Problem: An administrator needs to view, manage, and interact with quotes associated with a specific customer’s account directly from the admin interface.

Solution:

  1. Ensure "Show Saved Quotes Tab in Customer (Admin)" is Enabled.
    • Path: Go to Quote Settings in the Admin panel and ensure that the Show saved quotes tab in Customer (Admin) option is checked.
    • Note: Enabling this setting will add a "Quotes" tab under each customer’s profile in the Admin interface.
  2. Access the Customer's Profile.
    • Path: Navigate to Customer Management > Edit for the selected customer.
  3. Open the "Quotes" Tab.
    • Within the customer’s profile, click on the Quotes tab. This tab will display all quotes that have been created and are associated with the customer’s account.
  4. View and Manage Quotes.
    • Administrators can view detailed information about each quote, including:
      • Product Details: The product(s) included in the quote.
      • Quantities and Prices: The number of items quoted and their associated prices.
      • Reference Information: If applicable, any reference notes or custom fields attached to the quote.
    • Administrators have the ability to modify element of the quotation including quantities, references and attributes.
      • Access by clicking Edit next to a quote shown in the Quote tab for a particular customer
  5. Utilize Additional Quote Management Tools.
    • Depending on the configured settings, administrators can interact with advanced quote options, such as adjusting quantities, linking or unlinking products, managing expired quotes, and handling other relevant tasks for comprehensive quote management.

A1: Yes, enable Create quote automatically in the Quotes settings to create quotes on each call.

Q2: How do I enable email notifications for quotes?

Q3: Can customers modify quotes in their saved quotes tab?
