Import or Reset Customer Budgets with the CurrentBudget CSV Column

1. Overview of the Feature

You can now control each customer’s exact budget balance during a Customer CSV import. By adding values to the optional CurrentBudget column to your customer-import file, you decide whether to replace the customer’s current balance or add funds on top of it—without writing custom code or running manual adjustments afterward.
Behind the scenes, the platform converts every budget entry into ledger records so that deductions, audit logs, and reporting continue to work exactly as before.


2. Typical Use Cases

  1. Monthly Allowance Reset
    Upload a CSV on the first of each month with CurrentBudget set to the allowance each user should start with and choose Replace.

  2. Quarterly Top-Ups
    Provide employees with additional spending power each quarter: import only the delta amount and choose Add more budget.

  3. Zero-Out Departed Users
    Set CurrentBudget to 0 for staff who have left the company to revoke any remaining funds in one step.

  4. Customer Data-Only Imports
    Select Ignore budget import when you need to mass-update contact details without touching budgets.


4. Step-by-Step Implementation Guide

  1. Prepare your CSV

    • Start from the standard customer-import template. (Customer Management > CSV Import [Tab] > Download Customer Template CSV)

    • Add values to the CurrentBudget column. Or, if non-existant, add this column to the far right of the sheet.

    • Enter the budget amount for each customer, using decimals if needed (e.g., 150.75).

    • Leave the cell blank if a customer’s budget should stay untouched.

  2. Choose Your Import Behaviour

    1. Go to Customers Management ➝ CSV Import [tab] ➝ Import



    2. Upload the CSV.

    3. In the options popup, set Current Budget Behaviour:

      • Replace current budget (exact new balance) or

      • Add more budget (increase by amount).

    4. Tick Ignore budget import if you do not want any budget changes processed.


  3. Run the Import

    • Click Import. The system validates each CurrentBudget value, rounds it according to your Totals Rounding setting, and creates the appropriate ledger entries.

    • If a row contains 0, all existing budgets for that customer are cleared.

  4. Troubleshoot Common Issues

    • Unexpected decimal places? Check your Totals Rounding configuration.

    • No budget change applied? Confirm the CurrentBudget cell isn’t blank and that Ignore budget import is not being utilised.

    • Import errors for a row? Ensure the value is numeric and within allowed limits.
