Stock Management with Ordering Limits | GT_PR_007b

In this tutorial, we'll learn how to utilise the Stock Management feature. This allows you as the administrator to define how many of a product (or selection of products) a customer (or selection of customers) can purchase. In addition, we have the ability to automatically reset these limits on a monthly or annual basis. This functionality operates in a very similar way to Access Permissions. For additional context on these features, search for Access Permissions content within the Infigo Academy.

00:00:05:15 - 00:00:05:24
In this

00:00:05:24 - 00:00:09:03
tutorial, we'll learn how to utilize
the stock management feature.

00:00:09:26 - 00:00:12:05
This allows you
as the administrator to define

00:00:12:05 - 00:00:15:06
how many of a product
or a selection of products

00:00:15:19 - 00:00:19:02
that a customer
or a selection of customers can purchase.

00:00:20:00 - 00:00:22:26
In addition,
we have the ability to automatically reset

00:00:22:26 - 00:00:25:26
these limits on a monthly or annual basis.

00:00:26:16 - 00:00:30:16
This functionality operates in a very
similar way to access permissions

00:00:31:03 - 00:00:34:25
for additional context on these features,
search for Access permissions

00:00:34:25 - 00:00:37:25
content within the Infigo Academy.

00:00:39:24 - 00:00:41:23
So the start of this process
will be to navigate

00:00:41:23 - 00:00:44:23
to set up access permissions.

00:00:46:14 - 00:00:49:16
The control of stock management
can be found in the same area

00:00:49:16 - 00:00:52:18
as the general access permissions
configuration options.

00:00:56:14 - 00:00:59:03
We're going to start off
by clicking on scopes.

00:00:59:03 - 00:01:02:11
As with access permissions,
we are required to configure scopes

00:01:02:11 - 00:01:05:11
for our eventual stock management rules.

00:01:05:12 - 00:01:06:29
Scopes define a customer

00:01:06:29 - 00:01:10:23
or a range of customers
that will be affected by this rule.

00:01:11:24 - 00:01:14:02
So we'll just set one of these up
really quickly.

00:01:14:02 - 00:01:17:02
I'm going to go to add new scope
over on the right hand side,

00:01:18:01 - 00:01:20:22
and then we're going to define
the customers that included

00:01:20:22 - 00:01:22:13
within our scope.

00:01:22:13 - 00:01:25:23
In our example, we'll stick
to selecting a single customer.

00:01:26:02 - 00:01:30:11
However, a scope can include definitions
by other means, such as by departments,

00:01:30:20 - 00:01:33:20
customer roll or shipping country.

00:01:43:08 - 00:01:45:29
Next, we're going to click on Targets.

00:01:45:29 - 00:01:49:06
As with access permissions,
we are required to configure targets

00:01:49:06 - 00:01:52:06
for our eventual stock management rules.

00:01:52:07 - 00:01:55:02
targets,
define a product or a range of products

00:01:55:02 - 00:01:58:02
that will be affected by this rule.

00:01:58:26 - 00:02:00:13
Once again, we're going to go to add

00:02:00:13 - 00:02:03:13
new target,

00:02:03:14 - 00:02:05:13
and I'm going to select
the type of target.

00:02:05:13 - 00:02:06:15
So we're in our example.

00:02:06:15 - 00:02:09:05
We'll stick to selecting a single product.

00:02:09:05 - 00:02:13:24
However, a target can include definitions
by other means, such as category

00:02:14:00 - 00:02:14:27
or product group

00:02:31:19 - 00:02:33:07
with a scope and a target defined.

00:02:33:07 - 00:02:37:08
We're going to go across
to stock management, so this area allows

00:02:37:08 - 00:02:40:08
us to define our stock management rules.

00:02:40:08 - 00:02:43:04
So note that
although the functionality is very similar

00:02:43:04 - 00:02:46:04
to that of access permissions,
they are independent.

00:02:46:06 - 00:02:48:28
Access
permissions do not have to be activated

00:02:48:28 - 00:02:51:28
for stock management to function.

00:02:53:08 - 00:02:56:08
We'll start off in the settings tab.

00:02:57:08 - 00:02:59:26
This gives us access
to a load of stock management

00:02:59:26 - 00:03:02:21
general options.

00:03:02:21 - 00:03:06:02
This includes an overriding on off
switch of the functionality.

00:03:06:02 - 00:03:08:18
So that's the is enabled

00:03:08:18 - 00:03:11:18
a debug mode,

00:03:12:12 - 00:03:15:24
the ability to display usage information
for the period.

00:03:15:25 - 00:03:16:22
So that would be monthly

00:03:16:22 - 00:03:20:03
or annually, which is defined in our rule,
which we'll get to in a moment.

00:03:20:29 - 00:03:23:29
And finally the ability
to display availability

00:03:23:29 - 00:03:26:04
of the product in different forms.

00:03:26:04 - 00:03:31:00
And this is things such as just showing
a simple in stock or out of stock message,

00:03:31:16 - 00:03:34:24
or you can have the remaining stock
based on defined limits.

00:03:42:08 - 00:03:43:14
Click on the rules tab

00:03:43:14 - 00:03:46:14
to actually start defining our rules.

00:03:47:15 - 00:03:49:23
Go to add new record

00:03:49:23 - 00:03:50:29
and then we need to select

00:03:50:29 - 00:03:54:23
the relevant scope and targets
that we want to utilize for this rule.

00:03:54:24 - 00:03:57:24
So I'll choose the two I've just created.

00:04:06:13 - 00:04:07:01
Moving along

00:04:07:01 - 00:04:10:01
a bit further, we can define a limit.

00:04:10:10 - 00:04:13:00
So this is the quantity of the products
you wish your customer to

00:04:13:00 - 00:04:14:01
be able to order.

00:04:14:01 - 00:04:15:07
So I'm just gonna go with five.

00:04:15:07 - 00:04:18:07
For example.

00:04:18:18 - 00:04:22:19
And then next along from there,
we can define how often this limit resets.

00:04:22:23 - 00:04:25:23
So you have the option of never monthly

00:04:25:28 - 00:04:28:20
or yearly,

00:04:28:20 - 00:04:31:26
and then if applicable,
you'll get access to a reset date,

00:04:31:26 - 00:04:35:05
which allows you to specify the date
in which that limit resets.

00:04:37:07 - 00:04:38:25
Once you've finished click insert

00:04:42:03 - 00:04:45:03
and then save at the top of the screen.

00:04:45:15 - 00:04:49:04
Now, before you can utilize these changes
on the front end of the storefront,

00:04:49:04 - 00:04:52:18
you will need to wait for the background
update tasks to be run.

00:04:52:23 - 00:04:54:15
And this shouldn't
take more than a minute. So. So.

00:04:54:15 - 00:04:55:13
So what I've done here is

00:04:55:13 - 00:04:59:24
I've opened the product to see our update
of the stock limits and display options.

00:05:00:05 - 00:05:04:10
An order has already been placed
utilizing this information.

00:05:04:25 - 00:05:08:24
So what we can see, I placed an order
for three of this particular product.

00:05:09:06 - 00:05:13:11
We can see that I've got ordered
this month three and then availability.

00:05:13:11 - 00:05:16:11
So my remaining limit of two.

00:05:16:25 - 00:05:20:04
If we go back into the back
end of our storefront

00:05:20:04 - 00:05:23:27
and go to our stock management rules,
you also see that that order

00:05:23:27 - 00:05:27:15
that has been placed has been associated
with that stock management rule.

00:05:27:25 - 00:05:31:11
So you can keep an interactive track
on the orders

00:05:31:11 - 00:05:33:13
that have been placed
using each of those rules.
