RFQ email templates | ID: CI_RFQ_002

In this tutorial, we will discuss the email templates that are made available once the Connect : RFQ plugin has been enabled. Several default templates are available, each triggered at a different stage of the tendering process. Default content for these emails is already populated, however administrators are able to customise the content of these emails.

00:00:05:18 - 00:00:08:13
In this tutorial, we'll discuss
the email templates

00:00:08:13 - 00:00:12:09
that made available once
the Connect: RFQ plugin has been enabled.

00:00:13:04 - 00:00:15:18
Several default templates are available,

00:00:15:19 - 00:00:18:24
each triggered at a different stage
of the tendering process.

00:00:19:14 - 00:00:22:10
Default content for these emails
is already populated.

00:00:22:16 - 00:00:26:12
However, administrators are able
to customize the contents of those emails

00:00:26:12 - 00:00:30:01
as they see fit.

00:00:30:01 - 00:00:35:03
So details of the email templates provided
as part of the Connect: RFQ module

00:00:35:12 - 00:00:40:01
are provided
on the Connect: RFQ Settings page.

00:00:40:01 - 00:00:42:14
So if I just scroll down a little bit
on this page,

00:00:42:14 - 00:00:45:26
you'll find there's a section there
to do with relevant email message

00:00:45:26 - 00:00:52:06
templates.

00:00:52:06 - 00:00:54:09
In order
to make changes to those templates,

00:00:54:09 - 00:00:59:18
we do need to go to the email message
template section of the Infigo admin area

00:01:10:07 - 00:01:10:24
and then all

00:01:10:24 - 00:01:14:12
of the templates provided
with the Connect: RFQ module

00:01:14:18 - 00:01:18:16
are automatically added to the Customs tab
within this area.

00:01:18:28 - 00:01:22:16
So you won't find them
on the general system tab where you found

00:01:22:16 - 00:01:24:21
most of your email message templates.

00:01:24:21 - 00:01:29:02
If you have the RFQ module active,
those templates will be available

00:01:29:14 - 00:01:37:19
on the custom tab.

00:01:37:19 - 00:01:41:21
So each of those email templates
that are provided as part of the RFQ

00:01:41:21 - 00:01:45:27
module are active by default,
meaning that when their trigger is hit,

00:01:45:27 - 00:01:50:22
an email will be sent out
to the relevant party, which, depending

00:01:50:22 - 00:01:55:01
on the email template, this could be
the suppliers that have been specified.

00:01:55:10 - 00:01:58:06
It could be the person
that placed the order to notify

00:01:58:06 - 00:01:59:21
that a supplier has placed a bid.

00:01:59:21 - 00:02:04:25
For example,
any of the templates can be made inactive

00:02:04:25 - 00:02:07:28
if you want to do so
by clicking on the edit icon

00:02:08:25 - 00:02:12:09
on the end of the corresponding row.

00:02:12:09 - 00:02:16:21
That will take you to the message
template details and you can deactivate it

00:02:16:21 - 00:02:20:00
by just simply clicking this checkbox
and then clicking

00:02:20:00 - 00:02:25:05
save.

00:02:25:05 - 00:02:28:13
You can also edit the content
of those email templates

00:02:28:13 - 00:02:33:21
within this same screen

00:02:33:21 - 00:02:38:12
So if I go for example to the
request bid and go to edit

00:02:41:17 - 00:02:42:02
so these

00:02:42:02 - 00:02:45:04
templates can be amended
using the exact same methodology

00:02:45:04 - 00:02:48:02
as other email message templates
that you may have worked on.

00:02:48:17 - 00:02:51:09
And you can take a closer
look at that methodology

00:02:51:16 - 00:02:55:06
by looking at the relevant
tutorial on email message templates.

00:02:55:14 - 00:03:04:26
If you need an ID for that video,
it's BG 029.

00:03:04:26 - 00:03:07:17
So by default,
you'll see there's a very basic structure

00:03:08:22 - 00:03:11:12
where you can switch
also between the Code Mirror editor

00:03:11:12 - 00:03:13:04
and the content template editor.

00:03:13:04 - 00:03:16:00
If you want to build out a more

00:03:16:00 - 00:03:18:04
easy on the email template, let's say

00:03:19:19 - 00:03:21:12
and don't forget as well,
that you will need

00:03:21:12 - 00:03:24:02
to utilize the provided tokens.

00:03:24:19 - 00:03:29:11
So tokens are dynamic bits of information
that are pulled from elsewhere in Infigo.

00:03:29:22 - 00:03:32:15
And when you're using the RFQ module,
you'll see that

00:03:32:15 - 00:03:35:18
there is a separate section for RFQ

00:03:35:18 - 00:03:37:29
related information.

00:03:38:13 - 00:03:41:10
as a brief summary of the message
templates that are available.

00:03:41:10 - 00:03:45:06
So as I mentioned, there's information
on this on the RFQ settings page,

00:03:45:21 - 00:03:48:25
we have a request bit.

00:03:48:25 - 00:03:51:26
So when the customer requests a quote,

00:03:52:06 - 00:03:57:17
we will send a message to the relevant
suppliers.

00:03:57:17 - 00:04:00:18
We have all bids received,
so once all of the relevant

00:04:00:18 - 00:04:05:06
suppliers for that particular job
have actually place to bid

00:04:05:13 - 00:04:09:09
will send an email to the customer
that placed the order

00:04:09:09 - 00:04:12:00
to let them know
that all of the bids have been received

00:04:12:09 - 00:04:16:26
and they can access them
in their saved quotes.

00:04:16:26 - 00:04:18:09
We have no bids received,

00:04:18:09 - 00:04:22:10
so this is if none of the suppliers
respond in the required timeframe,

00:04:22:10 - 00:04:26:25
then the email will be triggered
to the customer to place the order

00:04:29:28 - 00:04:31:16
no more available.

00:04:31:16 - 00:04:33:09
So there's a few scenarios for this.

00:04:33:09 - 00:04:37:11
So when the quote has a set lifespan
and the lifespan is invalid,

00:04:37:23 - 00:04:40:18
we should send out an email
to all attached suppliers

00:04:40:18 - 00:04:44:18
who did not place a bid informing them
that it's no longer valid

00:04:44:18 - 00:04:48:26
for them to place a quotation.

00:04:48:26 - 00:04:53:08
When we send out the supplier awarded
email, we'll also send an email

00:04:53:08 - 00:05:01:14
to other suppliers
saying that it's no longer a valid quote,

00:05:01:14 - 00:05:04:15
but then also when the user deletes
a quote manually,

00:05:05:03 - 00:05:09:03
we would either inform the child,
quote, supplier or all suppliers

00:05:09:03 - 00:05:15:01
who did not bid on the job.

00:05:15:01 - 00:05:19:06
We also have bid placed,
so when a supplier places a bid,

00:05:19:19 - 00:05:25:06
that message will go to the customer
who actually requested the quotation

00:05:25:06 - 00:05:29:03
to say that one of the suppliers
has placed a bid.

00:05:29:03 - 00:05:31:19
And then finally we have RFQ supplier won.

00:05:31:27 - 00:05:34:25
So when the customer that requested

00:05:34:25 - 00:05:37:16
the quotation
actually selects a particular quote,

00:05:37:29 - 00:05:42:23
the supplier that actually won
that bid is notified

00:05:42:23 - 00:05:44:08
via email as well.
