How to Download Original Uploaded Artwork in Shared Print Operations

This article explains how administrators can download the original artwork files uploaded by users from Shared Print Operations (SPO).

This feature is designed to give internal teams direct access to the original, unmodified artwork files used for placed orders, without needing to route the request through Infigo Support. The original files are stored within the job’s working folder and are separated by part for multipart products.

Please note: Certain areas of this functionality may require activating on your platform prior to use. If you cannot find the settings detailed below, please contact Customer Support who can enable it for you.

Step-by-Step Implementation Guide

  1. Open Shared Print Operations.
  2. Locate the relevant job.
  3. Access the original uploaded artwork for the job via the Download Original button.
  4. Download the files before the job working folder is cleaned up, as the original artwork follows the same retention lifecycle.

How to Set Up Order Processing Fees Based on Order Total

 

You can now choose how your order processing fee is calculated.

Previously, percentage-based fees could only be applied to the product subtotal. Now, you can apply them to the full order total, including shipping, tax, and other fees.

This gives you more flexibility and ensures fees better reflect the true cost of processing an order.


What Was It Like Before?

 

Before this update, percentage-based processing fees were always calculated using the product subtotal only.

This meant that costs like shipping and tax were not included in the fee calculation, which could lead to under-recovery of payment processing costs.


What’s Changed

 

A new option has been added to the existing setting:

Order processing fee type

You can now choose:

  • Absolute – a fixed fee amount
  • Percentage of Order subtotal – calculated on product subtotal only (existing behaviour)
  • Percentage of Order total – calculated on the full order value (new option)

 

When using the new option, the fee is calculated based on:

Subtotal + Shipping + Tax + Other fees – Discounts


How to Set It Up

 

  1. Go to:
    Admin → Configuration → Settings → Order Settings
  2. Find the setting:
    Order processing fee type
  3. Select:
    Percentage of Order total
  4. Enter your desired percentage (for example, 2.5%)
  5. Save your changes

Once enabled, the fee will be calculated automatically during checkout.


How It Appears to Customers

 

On the cart page, the processing fee will show as:

“Calculated during checkout”

This is because the final total (including shipping) is not yet known.

During checkout, once shipping is selected, the fee is calculated and displayed clearly before the final total.

The fee is now positioned:

After shipping and before VAT

This improves clarity and makes the calculation easier to understand.


VAT on Processing Fees

 

If your processing fee is configured as taxable:

  • VAT will be calculated and applied to the fee
  • The tax breakdown will appear in:
    • Admin order view
    • Emails
    • PDF invoices

VAT on fees is not itemised in the cart or checkout to keep the interface clean, but it is fully included in backend reporting and documentation.


Reporting and Integrations

 

Processing fees are now included more clearly across:

  • Order XML (for MIS integrations)
  • Insights/Reports
  • Invoices and emails

This includes separate values for:

  • Fee including tax
  • Fee excluding tax
  • Fee tax amount

This ensures better financial accuracy and easier reconciliation.


Tips

 

If your goal is to cover payment processing costs, using Percentage of Order total is usually the most accurate option.

Always test your setup with different scenarios, including:

  • Different shipping methods
  • Discounts applied
  • Taxable and non-taxable products

This helps ensure the fee behaves as expected.


Troubleshooting

 

If the fee doesn’t appear as expected:

  • Make sure the correct fee type is selected
  • Check that a percentage value has been entered
  • Confirm shipping has been selected (the fee won’t calculate fully until this step)

If VAT on the fee looks incorrect:

  • Check whether the fee is configured as taxable
  • Verify your tax settings and rules

You now have more control over how processing fees are calculated, allowing you to include the full order value rather than just the product subtotal.

This leads to more accurate fee calculations, clearer checkout display, and better alignment across invoices, reporting, and integrations.

How to Limit Delivery Options at Checkout

 

A new delivery setting allows you to limit the number of delivery methods shown to customers at checkout.

When multiple delivery services are available, Infigo can now display only a set number of options first, ordered by price from lowest to highest. This helps reduce clutter and makes it easier for customers to choose a delivery method.

You can also choose whether to display a Show More button, allowing customers to expand the list and view all available delivery options.

What Was It Like Before?

 

Previously, all available delivery methods were shown at checkout.

For storefronts using multiple delivery providers or services, this could result in a long list of options. Customers sometimes had to scroll through several delivery methods before choosing one, which could make checkout feel more complicated than necessary.

 

What’s Changed

Two new delivery settings have been added:

  • Max Delivery options to display
  • Show “Show More” button for delivery options

If the maximum delivery options setting is set to 0, the feature is switched off and checkout behaves as before.

If a number is entered, only that number of delivery options will be shown initially. The options are sorted by price, with the cheapest shown first.

 

How to Set It Up

Go to your delivery settings in Admin.

Find the setting:

Max Delivery options to display

Enter the number of delivery options you want customers to see first. For example, entering 2 means only the two cheapest delivery methods will be shown initially.

Next, find:

Show “Show More” button for delivery options

Enable this if you want customers to be able to expand the list and view all available delivery options.

Save your changes.

How It Works at Checkout

 

During checkout, delivery methods are sorted by price in ascending order.

If the maximum number is set to 2, customers will initially see the two cheapest delivery options.

If the Show More button is enabled, they can expand the list to view the remaining options. When the list is collapsed again, the page scrolls back to the top of the delivery options section to keep the experience smooth.

 

If a customer selects an option from the expanded list, continues checkout, and then goes back, the system remembers whether the list should remain expanded or collapsed based on the selected delivery method.

Cart Delivery Estimates

This behaviour also applies to delivery estimates shown in the cart, where applicable.

If delivery estimates are enabled on the basket, the same delivery limit can be applied so customers are not shown an overly long list before checkout.

 

Tips

This feature is especially useful if your storefront returns many delivery options from multiple carriers or integrations.

A good starting point is to show the cheapest two or three options first, then enable Show More for customers who want more choice.

If you want a very streamlined checkout experience, you can disable the Show More button and only show the most relevant options.

 

Troubleshooting

If all delivery options are still showing, check whether Max Delivery options to display is set to 0. A value of 0 means the feature is disabled.

If customers cannot expand the list, check that the Show More option is enabled.

If the delivery methods are not appearing in the expected order, confirm that rates are being returned correctly by your delivery providers, as sorting is based on delivery cost.

 

Summary

This update gives you more control over how delivery options are presented during checkout.

By limiting the number of visible methods and optionally allowing customers to show more, you can create a cleaner checkout experience while still preserving flexibility.

Why do I not see all product type tabs in SPO (Shared Print Operations)?

 

If the range of product type tabs in SPO does not appear the same as your other storefronts, and you cannot access certain product types such as MegaEdit products, you can resolve this in Infigo Admin. In Infigo Admin, Infigo Settings, you can tick to enable the product type tabs you would like to see in the SPO. If you want the SPO to mimic another storefront, open the other storefront and match the same settings.

  • SPO tabs do not match other storefronts and certain product types are not accessible.

  • You want the SPO to function like another storefront by matching settings.

  2. Go to Infigo Settings.

  3. Tick to enable the product types you would like to see in the SPO.

    • These settings are currently all preceded with the string "PrintOpsShow", followed by the product type such as "Variable" or "Multipart".
    • Checking these options and saving will enable the specific tab.

How do I send refunds back to my customer?

Infigo lets you record full and partial refunds against an order so that the order totals and storefront reporting stay accurate. However, recording a refund in Infigo is not the same as sending money back to the customer.

For card payments made through gateways such as Stripe or Authorize.net, the recommended process is:

  1. update the refund in Infigo so your order values and reports are correct
  2. complete the actual financial refund in the payment gateway

It is important to note that cancelling an order does not automatically refund it. If an order is cancelled whilst in your workflow, you should not assume the customer has been refunded unless the refund has also been processed.

Infigo also does not provide a built-in refund email template at the time of writing, so customers are not automatically notified when you record a refund in the admin area.

Key settings and behaviors

  • Sales > Orders > View > Refund / Partial Refund
    Use these options to adjust the refund amount on the order in Infigo. This keeps order totals and reporting in sync.
  • Payment gateway dashboard
    Use your payment gateway to return the funds to the customer. For Stripe, the refund should be completed in Stripe. The same principle applies to other gateways where the payment is actually captured outside Infigo.
  • Approval workflow cancellations
    A cancelled order is not automatically a refunded order. A refund must still be actioned separately.
  • Partial refunds
    Partial refunds are a manual process. You should record the partial refund in Infigo and also complete it in the payment gateway.

Use cases

Full refund for a cancelled paid order

A customer pays for an order, but the order is later cancelled. You record the refund in Infigo so the order totals are correct, then issue the full refund in the payment gateway.

Partial refund for a pricing or budget adjustment

An order needs a small amount refunded because a budget, discount, or approval-related change was not applied at the time of purchase. You update the partial refund in Infigo and then process the same partial refund in the gateway.

Rejected approval workflow order

An order is rejected during approval and then cancelled. Since cancellation alone does not refund the payment, you must still issue the refund separately.

Reporting reconciliation

Your finance team processes a refund directly in the payment gateway, but you also want storefront reports to reflect the refunded amount. You record the refund in Infigo so reporting stays accurate.

Step-by-step implementation guide

  1. Open the order in Infigo
    Go to Sales > Orders and open the paid order you want to refund.
  2. Decide whether the refund is full or partial
    Confirm exactly how much should be refunded before making any changes.
  3. Record the refund in Infigo
    Use Refund or Partial Refund on the order to update the order values inside Infigo.
    This step is used to keep storefront records and reporting accurate.
  4. Process the actual refund in your payment gateway
    Sign in to the payment gateway that took the payment and complete the refund there.
    For example, if the order was paid through Stripe, process the refund in Stripe.
  5. Check that both sides match
    Make sure the refund amount in the gateway matches the amount you recorded in Infigo. This helps avoid reporting or reconciliation issues.
  6. Notify the customer manually if needed
    Infigo does not provide a built-in refund email template for this process. If your gateway does not notify the customer automatically, send a separate message outside the storefront.
  7. Review approval-workflow orders carefully
    If the order was cancelled as part of an approval workflow, confirm that the refund has actually been completed. Cancellation alone does not automatically return funds.

Accessing Printable Files

Infigo Academy: Shared Print Operations:

 

The view of Shared Print Operations (SPO) can be adjusted to show specific types of PDF jobs. The default for each storefront is to show all Variable (Infigo Designer created) PDF files. In this article you will find out how to view other product types in SPO.

 

Steps to view specific product types in SPO

1. To switch on other tabs in the Shared Print Operations view visit: Configuration > Settings > Product and Editor Settings > Infigo Settings

Check the boxes to Enable the "PrintOps" workflows of the product type that you would like to view while in Shared Print Operations.

2. To gain access to the print ready PDF file created by the Catfish system, login to any storefront as an administrator and navigate to "Shared Print Operations (SPO)" in the sidebar menu:

You will see a list of all jobs for the whole Platform.

 

3. Clicking on any single job line will expand the line and provide details of the job, and sales data.

 The "Product" section in these details will allow you to see the file has been created when you click "Download Output." This will provide a high resolution file of the artwork for that orderline item.

Customising order names

 

Allow customers to customise their order name so that saving, re-ordering and referencing a job is quick and simple.

Go to > Configuration > Settings > Product and Editor Settings > Infigo Settings and tick EditInfigoOrderProductName (it is around half way down the page) > click Save. 

The end user will now see an edit button on the orderline in the basket. Clicking this button allows the user to change the custom name.

This name shows in the account order history and in the Shared Print Operations page.

 

Disabling postcode validation

 

By default, Infigo validates the UK postcodes. In order to disable the postcode validation , login with Administrator account then navigate to Configuration > Settings > Customer Settings.

Scroll down to "Billing and Delivery Addresses Configuration" and untick "

Remember to to save your changes in the top right corner.

Removing Steps from Checkout

 

In the screenshot below there are three steps (1-3) that can be removed from the Checkout page

Billing Address

We have enabled the ability to skip the selection or input of a billing address during the checkout process (Step 1) if certain conditions are met. Take a look at our short step-by-step guide below to see how to enable this feature.

 

 


Bug fixes and general improvements

Shipping Address

To remove Step 2, you will need to navigate to Admin > Configuration > Settings > System > Checkout Settings. From here you can enable 'Hide shipping address':

Delivery Method

To remove Step 3, there are two ways to do this. The first scenario, is that you do not have any delivery options, for this, you will need to raise a support ticket as only the support staff can update this setting.

The second scenario, is that you only have one delivery option, so there is no need for the customer to choose. In this instance, you will need to navigate to Admin > Configuration > Settings > Order Settings. From here you will need to enable 'Hide delivery method step if only one options is available'.

 

Enabling Guest Checkout

 

The Guest Checkout functionality allows a user to place orders without having to create a user account . This means they don't have to login to place an order.

You can enable / disable Guest Checkout in Settings: 

 

There are additional settings to dictate whether Guest Users' email addresses are saved in Customers > Customer Management against their guest account.

Stock Management

 

This article will talk you through all of the features that are supported by Infigo out the box around managing stock and inventory from low stock notifications, displaying stock counts to allowing back orders.

 

Setting up your Stock Management

 

The setup of the Stock and Inventory settings is done on each product individually. If you navigate to the product variant you will find the section below where the default method of managing the inventory is set to 'Don't track inventory' - so by default it is disabled.

To enable it on a product simply change this setting to one of two:

1. Track Inventory

Upon the selection; you will have the following options available:

  1. Stock quantity: You can define the available quantity in the stock.
  2. Display stock availability: Enabling this option allows you to show to end users whether or not their is stock availability or not - this translate to a simple message being shown to let them know its either in or out of stock.
  3. Display stock quantity: If “Display Stock Availability” is checked, a new option "Display stock quantity" is then provided that allows you to determine whether or not you display the quantity of the remaining stock to the customer.
  4. Minimum stock quantity: Here you enter in the minimum stock count. This allows you to always keep a reserved amount of stock that you do not want to go under - as soon as the stock count falls below this level you can configure certain actions to be carried out (see low stock activity).
  5. Low stock activity: This setting allows you to determine what actions should be carried out if you fall below your minimum stock quantity.
    1. Nothing: Customers can still order the product
    2. Disable buy button: This will keep the product active and searchable but it will be not available to order.
    3. Un-publish: By setting this you are asking Infigo to automatically remove this product from the catalogue so it is no longer visible or searchable to your end users.
  6. Notify admin for quantity below: By enabling this option storefront owners can also get notified about the quantity of the product *
  7. Backorders
    1. No backorders - When stock is gone or if the customer is trying to purchase more than are in stock the system will not allow it.
    2. Allow quantity below 0: Customers can place orders
    3. Allow quantity below 0 and notify customer: Customers can place orders but will also get notified
  8. Allow stock notification: If the stock gets refilled by the storefront administrator, customers who are trying to order the product will also receive a notification from the storefront. **

 

2. Track inventory by product attributes

This method allows you to utilise our concept of Attribute combinations. So rather than setting inventory and stock counts against a single product in Infigo, you can create attributes against that product and then based on combinations of those attribute assign stock codes to them.

For example:

I have a t-shirt product in Infigo, but in the warehouse and what I actually want to offer to the customer is a number of different sizes and colours of that t-shirt. Instead of creating a separate product in Infigo for each of your different sizes and colours you can create one t-shirt product and then one attribute called 'Size' and one attribute called 'Colour' and then have your S, M, L values assigned to the size and your 'Red', 'White', 'Black' values assigned to your colour.

Then you can create a number of attribute combinations, each essentially creating the different stock items you hold.

Product: t-shirt

Attributes: Colour (Red, White, Black), Size (S, M, L)

Attribute Combinations:

Colour: Red, Size: S

Colour: Red, Size: M

Colour: Red, Size: L

Colour: White, Size: S

And so on.

For each of these combinations, in the same way you can setup a separate SKU for each, you can also setup a separate stock count. Only when that specific combination is ordered will it deduct stock from each of them. So its a little more involved to management and setup, but offers you the flexibility and control without creating lots of products individually. 

 

Updating to your stock levels

In order to add the stock on to products, it's pretty simple.

Navigate to the product variant where you want to change the stock level (Catalogue > Products > Product Management then navigate to the product variant) and then simply change the value of the Stock Quantity (either against the product variant or the attribute combination depending on how you have set it up).

Please note, this process is really a case of updating the stock count and not adding to it. There is no real transaction history of stock being added incrementally, you simply overwrite the stock quantity.

 

 

Stock Notifications Configuration

In order to ensure Administrators receiving emails in case the stock is low, ensure the following email templates are enabled. (How to edit email templates)

 You can check the message templates under Content Management > Email Message Templates and look for the following templates.

"Quantity Below - store owner"

"Back in stock"

 

PLEASE NOTE:

Stock levels are set on a storefront level, there is no way to manage stock across multiple storefronts.

 

 

Virtual Gift Card Email Not Sent to Recipient After Order

Summary

When a virtual gift card is ordered, the recipient does not automatically receive an email containing the gift card code. The fix requires an order setting to be updated by Infigo Support, after which new gift card orders will trigger emails automatically.

Problem

After a virtual gift card order is placed, the recipient does not receive an email with their gift card code. Checking the Message Queue shows that no email was triggered for the order at all. In the order details, only the recipient name is visible and no recipient email address appears.

Environment

Infigo storefront with virtual gift card functionality enabled. Affected area: order settings, Message Queue, virtual gift card orders.

Cause

An order setting that controls automatic email dispatch for virtual gift card orders was not set to the correct value. This setting must be enabled before the platform will trigger a gift card email to the recipient when an order is placed.

Resolution

  1. Contact Infigo Support and ask them to check and update the order setting that controls automatic gift card email notifications. Only Infigo Support can make this change.
  2. Once the setting is corrected, new virtual gift card orders will automatically send an email to the recipient when the order is placed.
  3. For any virtual gift cards that were already activated before the fix was applied, the email will not be sent automatically by the update. Open each affected order manually and click “notify recipient” to send the email.

Verification

After the setting is updated, place a new virtual gift card order and check the Message Queue to confirm an email notification is triggered for the recipient.

Reorder From the Same Department

This feature lets you centralize orders within a department so customers in the same department can view and reorder each other’s designs. It improves continuity when teammates change or leave, aligns billing across the department, and ensures consistent access to past orders.

When enabled, orders created by any customer in a department become visible to other customers in that department in My Orders, and they can reorder those items. Each order permanently stores the Department ID it was created under, so the order remains associated with that department even if the original customer later moves on. Admins can also view and change the order’s department in Order Details.

Key Settings

  • Order Settings > Order Sharing

    • No share: Orders are only visible to the customer who placed them (default behavior).

    • By department: Orders placed by any customer in the same department are visible and reorderable by other customers in that department.

    • Behavioral notes when “By department” is enabled:

      • My Orders shows all department orders (not only the current customer’s orders).

      • Search by customer email is available to help find orders placed by other department members.

      • The order card shows the customer who placed the order.

  • Quote Compatibility

      • If the “Keep quote reference” setting is enabled for quotes, cross-customer reordering is blocked. This is expected behavior

Use Cases

  • Team continuity: A teammate leaves; others in the same department can still reorder their past designs.

  • Procurement alignment: Purchasing managers handle reorders across multiple users within the department without asking individuals to forward order details.

  • Consistent billing: Ensures reorders stay within the same departmental billing context.

  • Design library access: Designers and marketers can search by colleague email to quickly find and reorder previously approved items.

Step-by-Step Implementation Guide

  1. Enable Order Sharing Mode

    1. Go to Configuration → Settings → Order Settings.

    2. Find Order Sharing.

    3. Select By department to allow cross-customer reordering within the same department.

    4. Save your changes.

  2. Verify Department Association on Orders

    1. Ensure customers are assigned to their correct Department before ordering.

    2. Place an order as a customer. The order will store the Department at creation time. (The below screenshot is showing the order in Admin > Sales > Orders, for reference.

    • Important: Moving the customer to a different department later will not move existing orders.

  3. View and Reorder From “My Orders”

    1. As another customer in the same department, open My Orders.

    2. You should see all orders from your department.

    3. Use the customer email search to find orders placed by colleagues.

    4. Open an order card to confirm it shows the customer who placed the order.

    5. Click Reorder to create a new order based on that previous order.

  4. Admin: Review or Change Order Department

    1. Go to Sales → Orders → Edit [for Order Details].

    2. Confirm the Department field is visible and correctly set.

    3. Update the Department if needed and save.

    4. In Order Details, verify that the customer who placed the order is displayed.

      Quotes: Expected Limitation

      1. If Keep quote reference is enabled, cross-customer reordering is not allowed.

      2. This is an intentional restriction.

Downloading Files from the Work in Progress and Approval Pages

Some storefronts allow users and approvers to download files (such as spreadsheets, PDFs, or images) that are uploaded with a product at the time of ordering via an upload attribute. This article explains how the feature works and how you can use it to retrieve the files you need.


Overview

When certain products on your storefront include a “file upload” attribute, any file you attach (like an artwork file, spreadsheet, or reference document) is stored along with your order. Depending on how your storefront is set up, you can then access those files directly from the Work in Progress and Approval pages, making it easy to access those files for review.


How It Works

  1. File Upload on Product

    • During the product selection or configuration step, you may see an option (or requirement) to upload a file (e.g., a logo image, a spreadsheet, or a PDF).
  2. Order Placement

    • After uploading the file, you complete checkout as usual. The system keeps that file linked to your specific order.
  3. Viewing Files in Work in Progress

    • Once the order is placed, the person who created the order can go to theWork in Progress area of their account.
    • If the storefront is configured to allow it, you will see a link to download or open the file you uploaded.
  4. Viewing Files in Approval

    • If you or another user serves as an approver, you can visit the Approval page.
    • You’ll see all orders waiting for approval. For each item, there may be a link to download any attached files. Clicking this link allows you to review the file and decide on further steps.

Troubleshooting or Not Seeing the Feature?

  • No File Upload Prompt?
    Not all products require or support file uploads. If you don’t see a file upload option during checkout, the feature may not be enabled for that particular product. This is valid for products which contain an attribute set to receive a file upload.

  • Links Not Visible?
    If you know files should be there but you don’t see a download link, your storefront settings may need adjustment. Contact Infigo Support to request access or confirm if the feature is enabled.

  • Issues Opening the File?
    Depending on your device and browser, you may need specific software to open certain file types (e.g., Adobe Reader for PDFs). If you’re having trouble opening a file, make sure you have the appropriate application installed.


Frequently Asked Questions

  1. Can I preview the file instead of downloading it?
    That depends on your browser and file type. Certain browsers will open PDFs or images in a new tab, while others will prompt you to save the file.

  2. What if the file is too large or doesn’t upload?
    Each storefront may have its own file size limits. If you encounter an error, try reducing the file size or format, or contact support.

  3. Who can download these files?
    Typically, the user who uploaded the file and any designated approvers can access them. If you need to download a file but don’t see the option, contact Infigo Support to request the proper access.

Using Usage Rules for Checkout Attributes

0:00 In this quick tutorial, I'm going to show you how to use our Usage Rules feature for checkout attributes. Now, for many of you, Usage Rules might not be a brand new feature, and it definitely isn't.
0:12 There are other areas of Infigo where this functionality is already in use, but we've now extended that scope so it can be used with checkout attributes as well.
0:22 So it's exactly the same engine you already know from payment and shipping. to control which extra fields appear on your basket page based on customer department or whatever other metric you want to gauge it by.
0:37 So first let's talk a little bit about what this does. So checkout attributes are the custom inputs that you can collect on the cart screen.
0:46 So for example, it might be an extra file upload, special delivery instructions, or any other piece of information you need before the order is confirmed.
0:56 With Usage Rules now available on the checkout attributes, you can choose which, under which conditions those checkout attributes are going to be seen.
1:05 A prime example of this is allowing visibility of certain checkout attributes fired. a department. So users in one department would see certain attributes while another would not.
1:17 It's the identical interface and workflow you already use. Use for payment method and shipping options, usage restrictions. So there's no new concepts to learn.
1:30 Okay, so we're going to do a quick demonstration on this. Uh, and I've set up an example storefront here with some things to note.
1:40 So in our demo storefront, I have set up two customers. So we've got our test user and we've got our administrative user.
1:49 And we'll see as well that they have subsequently been put into two separate departments. So we've got sample department one and sample department two.

The two we've set up here are what we call visible checkout attribute, which is an unrestricted check attribute that all users will see and then we've got the restricted checkout attribute which we will restrict
2:30 so a single department is going to see how would we do this from scratch? From your admin window here, first of all, just go ahead and go to the checkout attributes screen.

3:02 So we're going to restrict this one which we called restricted checkout attribute. Click on usage rules next to that. Now you can see that I've already got a couple of examples in here.
3:13 I'm just going to get rid of those temporarily and we create them again. Now this is a fairly straightforward interface.
3:20 We just need to choose what the requirement type is going to be. And we can control it by a lot of different things.
3:27 So usage requirements by customer roles, by product variants, information, via categories or critics. Basically in this case, which is probably going to be used most often, by departments.
3:41 And what this will allow us to do is to specify a department for which that, checkout attribute can or cannot be seen.
3:49 You see if we select usage rules by department, we get a couple of additional options. We've got one which is just a simple check box allowing us to control whether or not it restricts access.
4:00 And then we just need to put in an identifier. fire. So for the department option that's going to be the department ID which we'll find in a moment, but you might find for example if you go to product variants you'll get a different set of options and a different set of IDs that you need to So for example
4:17 here, you can see it's asking for product variants ID. Let's go back to our departments. We can identify these IDs just by going to the department screen.
4:31 And we'll see that there is an ID on the relevant departments. Now I'm going to restrict it so that sample departments are going which currently contains our test user cannot see this particular checkout attribute.
4:46 So, if I just put department ID 50, which relates to that, and say restricts usage. And we could also do the opposite for the other, uh, department.
4:58 So for example, if I say department number 51. So you can put multiple rules, multiple usage requirements on each one of these, department 51, and we're not going to restrict access.
5:13 And we can put as many options on here as we like, and then just make sure that we have confirmed that and that is all we need to do.
5:22 Now let's see that in action. So I'm just going to go and impersonate those two users in turn. So I'll go to my customer management.
5:34 Start off by impersonating my test user. And then go to my basket. Now I can see him, in my case, in this example, I've already put an item in my basket.
5:46 And I can see there that I've only got one check out. attributes available. Now, this could, as I mentioned, this could be an upload area.
5:53 It could be a drop down list. It could be a text box. In this case, we've left it just as a blank drop down.
5:59 Just as a very simple example. But you can see I've only got one of them visible. And that's because those usage restrictions rules are coming into play here.
6:09 However, if I go and impersonate the other user. So our admin user for which the restriction does not apply. We can see here that both of my checkout attributes are visible.
6:28 And that's it. So that's a base. a basic tutorial of how to use this usage restrictions functionality on a checkout attribute level.
6:37 That's just one specific example. In terms of restricting by department. But you can use this same methodology to create very expansive rules if you're requiring to use them.

Allow Customers To View and Search Purchase Order Numbers in Their "My Orders" Screen

A recent updated introduced two improvements for purchase-order (PO) numbers:

  1. Customer-facing “My Orders” page

    • A setting—Include PO Number on order card properties—adds the PO number to each order card (if a value exists).

    • The search box now uses contains logic, so typing any part of a PO (e.g., 573) returns orders with PO6573, A573B, etc.

  2. Admin → Sales → Orders list

    • The PO Number field now appears for any order that has a PO value, not only when the payment method is Purchase Order.

These changes let both shoppers and staff locate and reconcile orders faster, without opening each record.

  1. Quick buyer reconciliation – Users match marketplace orders to their internal ERP by glancing at PO numbers on cards.

  2. Partial PO lookup – Entering just a fragment (e.g., last four digits) finds matching orders.

  3. Admin order verification – Staff can confirm a PO from the Sales → Orders grid without drilling into details.

  4. Audit trail – Finance teams filter orders by known PO patterns during compliance checks.


Step-by-Step Implementation Guide

  1. Enable PO display for shoppers

    1. Sign in as an admin.

    2. Navigate to Customer Settings → Orders [Section].

    3. Turn on Include PO Number on order card properties and save.

  2. Verify shopper experience

    1. Impersonate (or sign in as) a buyer with at least one order that contains a PO number.

    2. Go to My Orders, located within the front-end Account area.

    3. Confirm each qualifying card displays its PO number; cards without a PO remain unchanged.

  3. Partial PO search

    1. In My Orders, type part of a known PO (e.g., 573).

    2. Ensure all orders whose PO includes that fragment appear in the results.

  4. Admin view

    1. Open Admin → Sales → Orders.

    2. Locate orders with various payment methods—credit card, invoice, purchase order, etc.

    3. Confirm the PO Number column or field is visible whenever the order holds a PO value, regardless of payment method.


Once these steps are complete, shoppers and administrators alike can see and search PO numbers quickly—reducing support queries and speeding up order reconciliation.

Frequently Asked Questions re Order Management

Question: Is it possible to reduce or extend the number of days a customer can place a re-order? 

Answer: Yes, go to Order Settings, tick the "allow reorders" box and then add the number of days into the "

Blocked Status in SPO

Blocked Status Explained

When integrating with third party systems or even when downloading print files to hot folders you may want to have the order blocked first so you can check the artwork before it is processed. In order to achieve this, you have to setup a blocker. It works like this: when a job is placed, rather than automatically being processed, the order is marked as 'blocked'. This means that it requires some manual intervention before it can continue. Using our Download Artwork button in Shared Print Operations (SPO) it allows someone in the business to check the artwork file, if they see it needs slight alterations they can make those changes offline then use our 'Upload Artwork File' button in SPO to replace the original file. After that the Blocked status can be removed and the job can continue on its way.

Setup

There are two settings that you need to enable, as follows:

1. Configuration > Settings > Order Settings > Block orders on checkout enabled:

With this enabled, every order that is placed on the storefront will now automatically been marked with the blocker status, thus ensuring that nothing is automatically posted to Site Flow until the status is removed.

2. Configuration > Settings > Product and Editor Settings > Infigo Settings > Show Blocker Section In SPO:

With this enabled, the blocker section will now display on Shared Print Operations.

How to Use Blocker Status

Once the above settings are enabled, when an order is received it will automatically be assigned with a 'blocker status'. Until this status is removed, the job will not be processed.

The below screenshot shows an order which has been placed. You will see the the product status is 'Blocked'. The screenshot also shows the 'Blocker Status' dropdown, allowing you to filter between orders which are currently blocked or have had the blocker status removed. This is important to use this filter, as there wont be any other identifier after it switches to output created that its still in the blocked status.

 When the order is first placed, the order line will go red and say Blocked. Once the PDF output is generated, the line will revert to orange and the status will say 'Output Created'. This is still in the blocker status as we have not yet removed it.

At this point, you can now download the PDF by clicking the 'Download Output' button (see below). If they need to make changes they can then click the upload new output, and upload their new, correct artwork. This will then re-generate the output PDF.

If you are happy that the output is correct (Whether that is the originally submitted art file OR the newly uploaded art file), then you need to remove the block status.

To do this, scroll down to the Change Status section, and click the Show All button:

Upon clicking show all, the status' will expand and show the entire status history. To remove the blocker status, press the 'X' on the Blocked status:

Now the job can be released and the files will continue along their way - whether it be downloaded to a hot folder, sent on to a third party MIS system through one of our plugins or just through your print operators manually downloading it. 

SPO FAQs

Q: What does the status 'Cleanup' mean? 

A: The 'Cleanup' status is when the "Working folder cleared because the order has been completed or cancelled."
Basically, this means that the order is done (shipped, completed or cancelled) so the system is clearing away the 'working folder' (which is any folder used during the processing of this order). The folders are being cleared so no unnecessary data is stored longer than it has to, and to make sure there is enough space for any future orders. 

Q: What does the status 'Blocked' mean? 

A: Have a read of this article for all the answers.

Q: Can we all an "All" tab to SPO for all orders to be shown in one view?

A: No. The introduction of an ‘All’ tab is a large undertaking, due to the workflow components underneath. We have had discussions internally over the past 12 months to look at rewriting SPO with various different views, but this isn’t something we have planned into our development cycle currently.

Q: How do I add more product type tabs to the SPO view?

A: Go to Infigo Settings in Admin, and you'll see a list of all product types which you can enable / disable.

What is Cleanup Status in SPO?

1. Overview

The "Cleanup" status of jobs in SPO (Shared Print Operations) indicates a specific phase in an order's lifecycle. This article explains what this status means and why it appears on jobs in the Infigo system.


2. What Does Cleanup Status Mean?

The Cleanup status is a standard part of the SPO system and occurs when:

  1. An order is either:
    • Completed (shipped and finalized), or
    • Canceled (no further processing required).
  2. The system clears the associated "working folder" used during processing. This ensures:
    • No unnecessary data is stored.
    • Storage remains optimized for future orders.

This automated process helps maintain efficient system performance and effective use of storage space.

Re-order Frequently Asked Questions (FAQs)

Q: Is there a specific email message template for reorders?

A: Re-orders are handled the same as new orders, therefore the email message templates "order paid - store owner" and "order placed" will be used (if enabled). 

Q: Do store owners / admins receive a specific reorder notification / email (message template)?

A: If you have the email message template "order paid - store owner" enabled, then that will be sent to notify you of a new order. There won't be any indication that this is a re-order. 

Q: Do re-order reference the order / job ID from the previous order? 

A: No, they are treated like an entirely separate, new order. 

Q: Can I re-order from any point in time?

A: There are limits on re-orders in Order Settings - "limit re-orders to order placed within x days". This is typically around 1 year. 

Q: If I update a product will a user be able to re-order it?

A: Probably not... in most cases they will get an error when trying to re-order. This is because after a product is updated / changed (for example the attributes) they will need to address any changes (for example complete the new attribute information).

Q: Where do I find the re-order option?

A: On the front end (the public facing storefront) to go My Account > Orders > expand Order Details > and you should see the re-order button. 

Prevent Adding Kit to Cart if Any Product Is Out of Stock

When managing kit products in your store, it may be important for you to ensure that all items in a kit are available before a customer adds the kit to their cart. Our Stock Validation for Kits feature helps you do just that by verifying the stock of all products in the kit before adding them to the cart. If any item in the kit is out of stock, the entire kit will not be added to the cart.

What Does It Do?

This feature ensures that customers can only add kits to their cart when every item within the kit is available. If one or more products are out of stock, none of the items in the kit will be added to the cart. This helps prevent incomplete kits from being purchased and avoids confusion or issues during checkout.

Why Is It Important?

Previously, it was possible for users to add a kit to the cart even if some items were out of stock. This could lead to customers encountering issues at checkout when those out-of-stock items were unavailable. By enforcing stock validation for all items in a kit, this feature ensures a smoother, more reliable shopping experience, reducing cart abandonment and inventory errors.

How to Enable or Disable Stock Validation for Kits

You can easily enable or disable stock validation for kits from the product settings page. Here's how:

  1. Navigate to the Kit Config page for the kit you want to configure.
  2. Look for the setting labeled "Validate stock of all products involved."
  3. Toggle this setting to enable or disable stock validation for the kit.
    • Enabled: Stock validation will be checked for both the kit and all individual items before they can be added to the cart.
    • Disabled: The stock of individual items will not be validated, and customers may still add the kit to their cart even if some items are out of stock.

How It Works

  • If the kit product handles stock: The stock of the master kit will be validated first. If the kit is out of stock, none of the items will be added to the cart.
  • If the kit product does not handle stock: The stock of each child product will be validated based on the quantities in the kit. If any child product is out of stock, the entire kit will be prevented from being added to the cart.

  • Prevents Cart Issues: Ensures that customers only add complete kits to their cart, avoiding any surprises during checkout when items are unavailable.
  • Improves Customer Experience: Provides a clear message if any items in the kit are out of stock, helping customers make informed decisions before they attempt to checkout.

Order Of Processing During Checkout

1. Overview of the Feature

The Order of Processing (Cart Reordering) step lets power-users specify the exact sequence in which items are processed within Infigo — directly inside the checkout flow. When the setting is enabled, a dedicated “Cart actions” step becomes available. From there, shoppers can drag-and-drop (desktop) or tap Up/Down controls (mobile) to rearrange line items without changing quantities, options, or attributes.

Behind the scenes, the platform writes the chosen position to each order line as LineNumber, ensuring downstream systems receive jobs in the same order the customer specified.

Heads-up:

  • The step is not compatible with the Checkout Option 1 appearance setting.

  • Grouped items (e.g., kits or versioned products) are displayed individually, so the order shown in the cart or confirmation page may differ slightly. The system still honours the order you set when it writes the LineNumber values.


2. Typical Use Cases

  • Production Sequencing
    A print buyer wants postcards queued before envelopes so finishing equipment receives jobs in the right order.
  • Staged Deliveries
    An events team sends banners first, then brochures, allowing venue staff to start installation while collateral is still en route.

3. Step-by-Step Implementation Guide

  1. Enable the feature

    • Sign in to the admin area.

    • Navigate to Order Settings → Checkout Flow.

    • Tick Show reorder cart items step and Save.



  2. Verify the new checkout step
    Go to the storefront, add items to the cart, then click Checkout.

    • A new step appears prior to the selection or input of addresses during the checkout.

  3. Reorder items (desktop experience)

    1. Hover any row to reveal the drag icon.

    2. Drag the row; a highlighted line indicates the drop target.

    3. Release to drop. The Order column renumbers automatically.

  4. Reorder items (mobile experience)

    • Use the ▲/▼ buttons on each row to move items up or down.

  5. Complete checkout

    • Proceed through the remaining steps. The chosen order is preserved on the order confirmation page (subject to kit/version grouping rules).

    • Each order line now carries a LineNumber property that matches your sequence, allowing production and MIS integrations to honour the order.


4. Additional Notes & Limitations

  • Kits & Versions: Parent items always remain at the top of their group; child items are listed beneath and can be reordered within the set.

  • API & Reporting:

    • LineNumber is exposed on each order line for downstream processing.

    • Reporting tables include this column for easy auditing.

  • Default behaviour when disabled:

    • Orders use the natural cart sequence as before.

Changing a product attribute (size, color) after an order is placed

Once an order has been placed, and there is no approval workflow holding it, you cannot edit the customer’s selected product attributes on the existing order line. The system does not support swapping an attribute selection after the order is submitted.

Best practice options

Option 1: Cancel and reorder (recommended)
The supported approach is to cancel the order line, or the full order if needed, and place a new order with the correct size selected. This keeps everything accurate and aligned, including pricing, stock, reporting, and production. This is done within the Admin > Sales > Orders area.

Option 2: Manual handling (not ideal)
If cancelling is not practical, you can add a note to the order and manage the change manually outside the system. Be aware this can create discrepancies if it is not tracked very carefully, especially around stock and fulfilment.

Note about approval workflows (context)

If an approval workflow is in use and an order is still in an approval stage, there can be a small window where approvers can amend certain details, such as quantities or cancelling lines. Even then, changing an attribute usually means cancelling that line and creating a new one with the correct attribute.

Summary

The Shared Print Operations page includes a Downloads menu that produces the paperwork for every order you have selected as a single file. You can download combined Job Tickets, Packaging Slips or Invoices, each as a merged PDF or as a ZIP of individual documents. Every combined download is prepared as a background task, and a new Maximum combined documents limit controls how many documents one download may contain.

Problem

When preparing a production run, you often need the same document for many orders at once. Previously only combined Job Tickets could be produced this way; Packaging Slips and Invoices had to be collected one order at a time, which was slow for a large queue. Because the file was also built while you waited, a large selection could leave the page tied up until it finished.

Environment

  • Infigo admin area, Shared Print Operations page.
  • Infigo admin area, Order Details page.

Configuration

Step 1: Open the Shared Print Operations page

Go to the Shared Print Operations page, listed as Shared Print Operations (SPO) in the admin menu. This is the page where you select a batch of orders and produce their paperwork together.

Step 2: Select the orders you want to produce

Use the tabs and filters to find the jobs you want, then tick the checkboxes in the grid for each order to include. Keep the number of items within the Maximum combined documents limit, otherwise you will be told how many to remove before anything is generated.

Step 3: Select a document type from the Downloads menu

Click the Downloads menu above the grid and pick the document you need. Six options are available: Job Ticket, Packaging Slip and Invoice, each as a PDF or a ZIP. Choose PDF when you want one merged document to send straight to a printer, or ZIP when you want the documents kept as separate files. Packaging Slips and Invoices are produced once per order rather than once per job, and cancelled jobs are left out of Job Ticket downloads automatically.

Step 4: Collect the finished download

The file is prepared as a background task rather than generated while you wait, so you can navigate away and carry on working. When it is ready you receive a notification containing a link to collect the finished download.

Step 5: Open an order to use the Order Details downloads

If you only need the documents for a single order, open that order and use the download actions on the Order Details page instead. These actions now use the same background processing as the batch downloads.

How do I view the print jobs linked to a specific order?

Open the order in Admin > Orders > Order Details. Click View Related Jobs — this opens Shared Print Operations in a new browser tab, showing only the jobs associated with that order.

Why don't I see the View Related Jobs button on some orders?

The button only appears when an order includes at least one job that isn't a Symphony product. Orders made up entirely of Symphony items don't show the button, since Symphony jobs are managed through a separate production view.

What filters are applied when I click View Related Jobs?

All filters (order status, payment status, future orders, approval) are set to All so every related job is immediately visible. The order number is pre-filled in the Search For field.

Which tab does Shared Print Operations open on?

If Show All Jobs is enabled under Admin Area Settings, the All Products tab is used. Otherwise, the tab matching the product type of the first order line is pre-selected automatically.

Where has the Delete button moved on the Order Details page?

The Delete button has been repositioned to the end of the Order Details action bar, following UX best practices for destructive actions.

How do I enable the department order assignment feature?

The Relevant Orders section in My Account shows department orders in an interactive, searchable table. This guide explains how to enable department order assignment and display the Relevant Orders page for the appropriate customer roles.

Step 1: Enable department selection at checkout

In Admin > Configuration > Settings > Order Settings, enable Show Department selection for processing (previously called 'Assign an order to a department'). This adds a department selection step during checkout so orders can be assigned to a department.

Step 2: Enable Relevant Orders in My Account

In Admin > Configuration > Settings > Customer Settings, enable Show relevant orders under the Show quote area group. This displays the Relevant Orders section in the customer's My Account area, where department members can search, sort, edit notes, and mark orders as shipped.

Step 3: Assign customers to a department

Open the customer's profile in the admin panel and assign them to the appropriate department. Only customers assigned to a department will see orders in the Relevant Orders page.

What happened to the old setting names?

Two settings were renamed for clarity:

  • Assign an order to a department → Show Department selection for processing (Order Settings)
  • Show related bound orders in my account → Show relevant orders (Customer Settings, under Show quote area)

What can department members do in the Relevant Orders page?

The Relevant Orders page only lists orders assigned to the member's department that are still pending or in processing. Completed or already-shipped orders don't appear, so the table stays focused on orders that need attention. From the table, department members can:

  • Search orders by order number, date, or customer name
  • Sort the table by order number, customer, or date, and page through results (10 orders per page by default, adjustable up to 50)
  • Edit order notes using the Edit Data action
  • Mark an order as shipped after confirming the action (this also removes the order from the Relevant Orders list, since its status moves to complete)

Step-by-Step Configuration Guide: Improved Relevant Orders Experience in My Account

The Relevant Orders section in My Account shows department orders in an interactive, searchable table. This guide explains how to enable department order assignment and display the Relevant Orders page for the appropriate customer roles.

Step 1: Enable department selection at checkout
