Email Message Templates | ID:BG_029

In this tutorial, we will learn how to use our Infigo platform to send emails at different stages of the ordering and fulfilment process. In addition, we will explore how to define email accounts which serve as the source of any emails sent or received by your system.

Tutorial Video Transcript

00:00:14:13 - 00:00:17:21
In this tutorial,
we'll learn how to use our legal platform

00:00:17:21 - 00:00:22:05
to send emails at different stages
of our ordering process.

00:00:23:12 - 00:00:26:03
In addition,
we'll explore how to define email accounts

00:00:26:03 - 00:00:31:25
which serve as the source of any emails
sent or received by your system.

00:00:32:11 - 00:00:36:00
So what we're going to do to begin with
is look for the email accounts section

00:00:36:14 - 00:00:38:26
so I can do this
just by searching for email

00:00:39:27 - 00:00:42:00
in the search bar on the admin area

00:00:42:14 - 00:00:46:01
and then go to email accounts.

00:00:50:02 - 00:00:53:17
This page shows a list
of the email accounts associated with you.

00:00:53:17 - 00:00:55:05
If you go set up

00:00:55:05 - 00:00:59:03
email accounts can be completed
on a platform level if you wish to do so,

00:00:59:11 - 00:01:02:16
so that the email is accessible across
all of your storefronts,

00:01:03:06 - 00:01:05:27
or it can be configured
at a storefront level

00:01:05:27 - 00:01:11:18
if you wish for it to be available
for an individual storefront.

00:01:11:18 - 00:01:16:08
The email account that we have predefined
here in a brand new platform

00:01:16:20 - 00:01:21:11
and provided by Infigo
is intended as a temporary convenience

00:01:21:11 - 00:01:25:03
while still getting to grips
with Infigo and the platform.

00:01:25:17 - 00:01:29:15
It is recommended
that you update your default email account

00:01:29:15 - 00:01:33:12
at your earliest convenience as
a multitude of email providers available.

00:01:33:24 - 00:01:37:10
So you could utilize Microsoft,
three, six, five Gmail

00:01:37:10 - 00:01:41:05
or any of the hundreds of others
that are out there

00:01:41:05 - 00:01:46:18
in the ether.

00:01:46:18 - 00:01:51:05
So let's say, for example, we were to add
a new email account, we'd go to add new

00:01:52:16 - 00:01:54:25
and this is the information
that we have displayed.

00:01:56:04 - 00:01:58:27
So in order to actually set up
an email account will need

00:01:58:27 - 00:02:02:08
the email address,
which is the from email address.

00:02:03:00 - 00:02:06:27
So whether your emails you send
will be registered as being received from

00:02:08:01 - 00:02:10:11
email display name.

00:02:10:11 - 00:02:13:13
So a friendly name that will appear
in the list on the previous page,

00:02:14:26 - 00:02:17:27
the mail server, hostname or IP address

00:02:20:04 - 00:02:21:03
port numbers.

00:02:21:03 - 00:02:25:22
So five, eight, seven or 25 are supported.

00:02:26:21 - 00:02:29:15
Authentication username and authentication
password.

00:02:30:12 - 00:02:33:03
And selecting
whether an SSL will be utilized

00:02:33:03 - 00:02:35:10
or not.

00:02:36:08 - 00:02:38:24
This information can be obtained
from your chosen

00:02:38:24 - 00:02:41:10
email provider.

00:02:44:21 - 00:02:46:22
Now I don't have any example email account

00:02:46:22 - 00:02:50:06
to set up here,
but we'll just put a couple of

00:02:50:06 - 00:02:52:29
simple examples in

00:02:57:03 - 00:03:00:13
and then save.

00:03:01:11 - 00:03:03:00
You can see that's
now been added to our list.

00:03:03:00 - 00:03:04:24
And if I want to change

00:03:04:24 - 00:03:07:27
the email address that's been utilized
by default in the account,

00:03:07:27 - 00:03:11:24
that's been utilized by default,
I can click on this button here

00:03:12:28 - 00:03:16:04
to change the default setting.

00:03:18:15 - 00:03:21:21
also worth noting we have the ability
to send a test email

00:03:21:22 - 00:03:25:05
to make sure that your account
is functional as you expect.

00:03:25:25 - 00:03:29:16
So if I test this out next to our tech
support UK

00:03:29:29 - 00:03:32:27
email account,
which is the one provided by Infigo,

00:03:33:29 - 00:03:37:03
you get to this functionality
by going on edit or

00:03:39:08 - 00:03:40:13
and then underneath

00:03:40:13 - 00:03:45:18
where you put your email account details
in that we've previously discussed,

00:03:45:27 - 00:03:50:16
you have this ability to send test email,
so you type in the email address

00:03:50:16 - 00:03:52:15
that you want to send it to

00:03:55:25 - 00:03:57:26
and then just hit send test email

00:03:58:29 - 00:04:01:06
and that will confirm
that the email account is

00:04:01:06 - 00:04:02:17
setup correctly.

00:04:08:11 - 00:04:09:12
Next, we're going to take a look

00:04:09:12 - 00:04:11:13
at some email message templates.

00:04:12:14 - 00:04:16:06
So again, we can just search for email

00:04:16:17 - 00:04:18:03
and we're going to go for email

00:04:18:03 - 00:04:22:06
message templates.

00:04:22:06 - 00:04:25:24
So this page contains
pre-configured email templates

00:04:26:03 - 00:04:29:01
which are triggered by certain actions
on your storefront.

00:04:29:23 - 00:04:33:16
So for example, an email
may be automatically sent to the customer

00:04:33:29 - 00:04:38:00
when a print operator changes
the that is to shipped, for example,

00:04:38:22 - 00:04:41:11
only some of these templates
are active by default.

00:04:41:11 - 00:04:45:20
So you can see with the little checkbox
next to certain emails,

00:04:46:00 - 00:04:51:25
most of them are deactivated by default.

00:04:51:25 - 00:04:55:25
The contents of all of these emails
can be customized by clicking the edit

00:04:55:25 - 00:05:03:21
icon next to the template of interest.

00:05:03:21 - 00:05:07:29
So in our example here,
we'll focus on the order page template.

00:05:07:29 - 00:05:10:11
So that's in the order management section.

00:05:10:11 - 00:05:13:13
There's two entries there for order paid.

00:05:13:27 - 00:05:15:07
These separate templates

00:05:15:07 - 00:05:19:04
allow the same action to trigger
multiple emails with different recipients.

00:05:20:15 - 00:05:23:12
So for example,
the email that gets sent to the customer.

00:05:23:21 - 00:05:26:20
So I'd say this one

00:05:26:20 - 00:05:29:14
that could be highly customized,

00:05:29:14 - 00:05:31:24
it could be very much branded

00:05:32:23 - 00:05:34:29
and made to look very, very pretty,

00:05:34:29 - 00:05:38:24
as you might expect from a website
that you would from.

00:05:39:11 - 00:05:43:22
However, the internal version might
just need some very basic information.

00:05:43:22 - 00:05:44:28
It can be very concise,

00:05:44:28 - 00:05:48:14
it just needs certain information
going to a certain member of our team.

00:05:49:09 - 00:05:51:11
So therefore we can make this one
a little bit different.

00:05:51:23 - 00:05:54:09
The both will be triggered
by the same event.

00:05:56:00 - 00:05:58:21
So what we'll do next to
one of these will click on edit

00:06:00:00 - 00:06:06:02
and that takes us to this screen here.

00:06:06:02 - 00:06:07:06
Now, one thing will notice

00:06:07:06 - 00:06:11:14
is that we have chameleon options
for our email message templates.

00:06:11:28 - 00:06:16:19
So we can see this with a little plus
icon here.

00:06:16:19 - 00:06:18:10
Email templates are another area

00:06:18:10 - 00:06:21:16
of your Infigo storefront
that can be controlled by chameleon.

00:06:21:29 - 00:06:27:01
Admins have the ability to define different email formats based on the recipient.

00:06:28:08 - 00:06:29:16
So basically if we want

00:06:29:16 - 00:06:32:11
to control the email content

00:06:32:17 - 00:06:36:23
to certain departments or certain groups
of users defined by a chameleon group,

00:06:37:11 - 00:06:40:16
we can add that chameleon group
by clicking on this icon here.

00:06:41:05 - 00:06:44:18
And then we get a new body,
a new subject entry

00:06:45:04 - 00:06:47:29
for that particular chameleon group.

00:06:47:29 - 00:06:50:11
If you want to know more about Chameleon
through our other videos

00:06:50:11 - 00:06:52:12
that cover that content

00:06:59:02 - 00:06:59:26
so we can define

00:06:59:26 - 00:07:03:20
A BCC or multiple BCC recipients.

00:07:03:20 - 00:07:05:19
So A blind carbon copy.

00:07:05:19 - 00:07:09:07
If we wish to do so,
we can define a subject for the email

00:07:09:18 - 00:07:15:08
and we can define a message body.

00:07:15:08 - 00:07:19:19
The message body, as you can see
here, is constructed using a HTML editor.

00:07:20:00 - 00:07:24:15
You'll notice that you don't have the ability to switch this to a rich text editor.

00:07:25:15 - 00:07:27:28
If you do have difficulty writing in HTML,

00:07:28:09 - 00:07:31:27
then there are countless HTML
beautifying sites

00:07:33:02 - 00:07:35:19
available on the internet
which will allow you to

00:07:36:29 - 00:07:40:18
create your email templates
and then convert it to HTML script.

00:07:41:02 - 00:07:43:28
So essentially you could just copy

00:07:43:28 - 00:07:46:16
the already created templates in here,

00:07:46:27 - 00:07:50:29
find one of those HTML converters
or beautify

00:07:50:29 - 00:07:54:00
as or however they're called

00:07:54:00 - 00:07:56:18
and then reformat it as you see fit

00:07:56:27 - 00:07:59:05
and then copy the HTML back into here

00:08:03:09 - 00:08:06:01
due to the dynamic
nature of email content.

00:08:06:01 - 00:08:10:23
So things such as customer
names, order details, whatever else it's

00:08:10:23 - 00:08:14:16
highly recommended that utilize tokens
in your message templates.

00:08:15:17 - 00:08:19:26
So we've come across tokens a few times
over the course of these tutorial videos

00:08:20:07 - 00:08:23:07
that obtain information from elsewhere
within in Fig.

00:08:24:29 - 00:08:26:10
with the value of dated

00:08:26:10 - 00:08:31:00
based on the current situation
that the system finds itself in.

00:08:31:17 - 00:08:34:16
So for example,
when they're looking at a particular order

00:08:34:24 - 00:08:38:18
or when a certain user is logged
in, then the information drawn

00:08:38:18 - 00:08:41:21
into that particular
field will be changed.

00:08:43:04 - 00:08:46:05
Tokens are found on the right hand
side of your message templates.

00:08:46:17 - 00:08:48:19
You simply click on your token of choice

00:08:49:15 - 00:08:51:20
that will copy it to your clipboard,

00:08:51:20 - 00:08:54:08
and then you can paste it
into your message.

00:08:54:21 - 00:08:57:01
And you'll even see that
with the predefined

00:08:58:25 - 00:09:00:17
message template that we have here,

00:09:00:17 - 00:09:04:27
there's a lot of tokens already included,
including in the subject line.

00:09:05:07 - 00:09:07:16
They can be included in multiple places

00:09:16:12 - 00:09:18:07
underneath the main body of text.

00:09:18:07 - 00:09:23:05
You can choose the email account
that you wish to send the email from,

00:09:23:20 - 00:09:27:01
so you'll see that we have both
of the email accounts directly available

00:09:27:01 - 00:09:30:21
so we can directly choose one
if we wish to do so, or we can just

00:09:30:21 - 00:09:40:13
utilize whatever is specified
as the default account.

00:09:40:13 - 00:09:41:04
And then finally

00:09:41:04 - 00:09:44:28
we have the ability to send a test email
at the bottom of the screen here.

00:09:45:11 - 00:09:49:24
So to verify the content of your email
template, you can send a test email.

00:09:49:24 - 00:09:52:03
Just enter
the recipient's email address here

00:09:53:23 - 00:09:56:11
and hit send test email.

00:09:56:11 - 00:09:57:23
Now, of course,
you need to make sure that you're

00:09:57:23 - 00:10:01:03
sending this from an email account
which is correctly set up.

00:10:01:17 - 00:10:03:25
Otherwise that won't work as expected.

00:10:05:14 - 00:10:09:03
When we finish making changes to our email
template, make sure you save that

00:10:09:11 - 00:10:12:27
using the button at the top of the screen
that will now be updated.

00:10:13:21 - 00:10:18:11
And if you want to actually utilize that
particular email template I wanted to send

00:10:18:11 - 00:10:23:07
once that particular stage is hit,
then you need to make sure that is active

00:10:23:23 - 00:10:27:03
is selected.

00:10:28:03 - 00:10:34:02
The last thing we might want to
look at here is the message queue.

00:10:34:02 - 00:10:35:02
So this is where you can keep

00:10:35:02 - 00:10:38:03
an eye on the emails
that have been sent out by the system.

00:10:39:02 - 00:10:40:02
By default, it will

00:10:40:02 - 00:10:43:29
show you a list of emails
that have not successful being sent

00:10:44:29 - 00:10:48:09
and if you want any additional information
on any of those emails,

00:10:48:21 - 00:10:53:24
you can go on the edit icon
next to that particular email.

00:10:53:24 - 00:10:56:21
From here, it will give you information
on that particular email,

00:10:58:01 - 00:10:59:28
including when it was created.

00:10:59:28 - 00:11:03:17
How many send attempt has been,
if it was successfully sent

00:11:05:02 - 00:11:08:05
and you have the ability
to requeue this email as well.

00:11:08:05 - 00:11:11:25
If you wish to try and re send it.

Step by Step Guide

BG_029_Email accounts and message templates

In this tutorial, we will learn how to use our Infigo platform to send emails at different stages of the ordering and fulfilment process. In addition, we will explore how to define email accounts which serve as the source of any emails sent or received by your system.

Creation Date: Nov 08, 2022

1. Search "Email" and click on Email Accounts

Search "Email" and click on Email Accounts

2. Email Accounts page

This page shows a list of the email accounts associated with your Infigo setup.

Email accounts can be completed on the Platform Level so that the email is available across all storefronts, or configured at storefront level if you wish for it to be available for an individual storefront.

The email account pre-defined in a new platform and provided by Infigo is intended as a temporary convenience whilst you get to grips with Infigo, and has limited functionality such as a fixed limit on sent/received emails per day.

It is recommended that you update your default email account at your earliest convenience. There are a multitude of email providers available, with Microsoft 365 and Gmail being popular options.

8. Email Message Templates

This page contains pre-configured email templates which are triggered by a certain action on your storefront. For example, an email may be automatically sent to the customer when a print operator changes a job status to "Shipped".

Only some of these templates are active by default, identified by the check box in the "Is Active" column.

The content of these emails can be customised by clicking Edit next to the template of interest.

Email Message Templates

9. Order Paid email template

In our example, we will focus on the Order Paid template.

Please note there are two email templates for Order Paid, with one having the suffix of "store owner". These separate templates allow the same action to trigger multiple emails with different recipients.

For example, the email sent to the customer may be branded and highly customised, however the internal version triggered by the same action may only need minimal, concise data.

12. Amend message content

Define any BCC recipients, a subject and a message body.

The message body is constructed using a HTML editor. If you have difficulty writing in HTML format, then there are countless "HTML Beautifier" sites on the internet which will allow you to create your email template and convert it to HTML script.

Due to the dynamic nature of email content (such as customer names, order details, etc), it is highly recommended to utilise tokens.

Tokens obtain information from elsewhere in Infigo, with their value updated based on the current situation (such as logged in user or current order).

Tokens are found on the right of your message template. Simply click your token of choice to copy it to clipboard then paste into your message.
