Reorder From the Same Department

This feature lets you centralize orders within a department so customers in the same department can view and reorder each other’s designs. It improves continuity when teammates change or leave, aligns billing across the department, and ensures consistent access to past orders.

When enabled, orders created by any customer in a department become visible to other customers in that department in My Orders, and they can reorder those items. Each order permanently stores the Department ID it was created under, so the order remains associated with that department even if the original customer later moves on. Admins can also view and change the order’s department in Order Details.

Key Settings

  • Order Settings > Order Sharing

    • No share: Orders are only visible to the customer who placed them (default behavior).

    • By department: Orders placed by any customer in the same department are visible and reorderable by other customers in that department.

    • Behavioral notes when “By department” is enabled:

      • My Orders shows all department orders (not only the current customer’s orders).

      • Search by customer email is available to help find orders placed by other department members.

      • The order card shows the customer who placed the order.

       

  • Quote Compatibility

      • If the “Keep quote reference” setting is enabled for quotes, cross-customer reordering is blocked. This is expected behavior

Use Cases

  • Team continuity: A teammate leaves; others in the same department can still reorder their past designs.

  • Procurement alignment: Purchasing managers handle reorders across multiple users within the department without asking individuals to forward order details.

  • Consistent billing: Ensures reorders stay within the same departmental billing context.

  • Design library access: Designers and marketers can search by colleague email to quickly find and reorder previously approved items.

Step-by-Step Implementation Guide

  1. Enable Order Sharing Mode

    1. Go to Settings → General.

    2. Find Order Sharing.

    3. Select By department to allow cross-customer reordering within the same department.

    4. Save your changes.

  2. Verify Department Association on Orders

    1. Ensure customers are assigned to their correct Department before ordering.

    2. Place an order as a customer. The order will store the Department at creation time. (The below screenshot is showing the order in Admin > Sales > Orders, for reference.

    • Important: Moving the customer to a different department later will not move existing orders.

  3. View and Reorder From “My Orders”

    1. As another customer in the same department, open My Orders.

    2. You should see all orders from your department.

    3. Use the customer email search to find orders placed by colleagues.

    4. Open an order card to confirm it shows the customer who placed the order.

    5. Click Reorder to create a new order based on that previous order.

  4. Admin: Review or Change Order Department

    1. Go to Admin →Sales → Orders → [Order Details].

    2. Confirm the Department field is visible and correctly set.

    3. Update the Department if needed and save.

    4. In Advanced Order Details, verify the customer who placed the order is displayed.

  5. Quotes: Expected Limitation

    1. If Keep quote reference is enabled, cross-customer reordering is not allowed.

    2. This is an intentional restriction.
