How to manage orders in Shared Print Operations | CORE_011

This final tutorial explains how to manage orders after they’ve been placed, covering two key admin areas for different roles. First, Sales → Orders is aimed at sales or customer service teams and shows orders as complete records, where you can review and update general order details, billing and delivery info, the products within the order, and track changes via Order Notes. Second, Shared Print Operations is designed for print operators and breaks orders into individual print jobs (even when multiple jobs belong to one order), with tabs by product type plus search and filtering—often used platform-wide, so filtering by storefront helps focus the list. From a job entry, operators can view order/product info, download relevant PDFs (such as job tickets, invoices, packaging documents), and update job statuses (e.g., to Shipped), which moves work out of “open” and into “completed” once all jobs in the order are shipped.

Tutorial Video Transcript

0:01 in the final tutorial of the Infigo Core Learning Pathway, we're going to have a look at how to manage orders within your Infigo platform once they've been placed.
0:11 There's two areas we're going to look at here. One is for your sales representatives, so it actually looks at the orders as a whole.
0:18 and the other is shared print operations and this is where your print operators would work in order to see the different jobs that have come in and to update statuses, add notes and that kind of thing.
0:31 so let's start off with sales and orders. As mentioned, this is more applicable to your sales team. It shows your orders as a whole and allows them to make changes to those orders where necessary.
0:51 So you see we've got general order info which we can update, billing and delivery information, product information, so the products contained within the order, and then ORDER NOTES so any change that's happened to the order anything associated with it is noted in here The other area we're talking about
1:13 is Shared Print Operations and that can be found at the bottom of your menu down here Now remember that this view is for Print Operators so it doesn't show individual orders it instead breaks things down into individual print jobs even if multiple of them are in the same order This screen is split into
1:37 several different tabs for different types of Infigo product and then you've got various different search and filtering tools available to find particular jobs of interest I've already filtered this down to our particular storefront as this actually displays platform-wide print jobs.
1:54 And then I can see that the one order that we've just placed in the previous tutorial is down here. Expanding this, we'll get all of the relevant order information information on the products along with the ability to download and output PDF if it's applicable to the product documentation such as job
2:16 tickets, invoice and packaging we can download and then further down we have the ability to change the status of that particular job as well So for example, if this one was ready to go, we could change status to shipped.
2:36 And then basically what that means, as soon as all of the jobs within the order are set to shipped, then it will no longer appear in this open orders area However, it would appear in completed orders Now, of course, there is more available downstream actions as well We do have lots of integrations which
2:56 allow you to push information out of Infigo into various third-party systems Those won't be covered in this basic learning pathway, however, we do have a specialized learning pathways which show you how to set up those individual integrations and shows you what they're capable of And that is about it
3:16 So, thank you very much for taking the time to complete the Infigo core learning pathway There are plenty more learning pathways available on the Infigo Academy covering all different aspects of the software and covering all different roles of people that tend to use Infigo Take a look at the learning
3:32 pathways we've got available and enroll on any which seem relevant to you to learn much, much more about the software.
