About this topic

What Infigo Sync does

Animation: Infigo Sync on your computer checks the storefront, the print-ready file travels to a hot folder, and a tick appears on Shared Print Operations when the job status updates

Infigo Sync is a background service that downloads your print-ready files to folders on your own network and reports delivery back to Shared Print Operations. It checks your storefront on a regular schedule, every 30 seconds by default, and it connects out from your computer to your storefront. Start with Download and run the installer if you are installing for the first time. If Infigo Sync is already installed from an earlier installer, see the note at the top of Install with an API token.

Who this is for

Store administrators who set up the computer that receives print-ready jobs, and the IT team that looks after it.

Lesson 1 of 6 | 3 min

What Infigo Sync does

See what Infigo Sync does for your print workflow before you install it.

  1. It collects your print-ready files

Infigo Sync is a background service, usually on Windows. It asks your storefront for new print-ready jobs and downloads them to the folders you choose on your own network. It can also download job tickets, invoices, packing slips and XML outputs.

  2. It tells Shared Print Operations what arrived

When a file reaches its folder, Infigo Sync updates the job's status in Shared Print Operations. This works because output files are named in a standard way that starts with a type letter (a single letter for the product type), then the order number and the job number, so each file can be matched to its job. You do not need to do anything: Infigo names files this way by default. Files always download whatever they are called, but a job's status only updates when the name follows this pattern.

  3. It checks every 30 seconds by default

Infigo Sync checks your storefront every 30 seconds by default. Ask Infigo Customer Support before you change this.

  4. It runs on a computer you choose

Install it on the computer or server where you want the files to land. It is a small program, so you can even run it on your own workstation. The installer you download by default is for Windows. If you need Linux or macOS, see Can I run Infigo Sync on a Mac or Linux? in Troubleshooting.

  5. Set up hot folders and print locations first

Hot folders and print locations decide which jobs go where, and the installer asks you to choose a print location. Set them up in your admin area first: see Configuring Hot Folders and Print Locations (the video and step-by-step guide). Infigo Sync downloads from one print location at a time, so a second print location needs a second instance: see Run more than one instance.

Install Infigo Sync

Download and run the installer

Download a ready-made installer from your admin area. It already holds your storefront address, a name and its own API key.

Interactive walkthrough

Install Infigo Sync

Download the ready-made installer from Connected Apps, then run it on the computer that will run Infigo Sync.

  1. In the admin area
  2. On the Infigo Sync computer

Finish Installation complete: Infigo Sync is installed and running as a Windows service, and starts automatically with the computer. Click Finish.

Infigo Sync is installed as a Windows service that starts by itself, connected to your storefront.

Tip

You do not need to create an API key or ask Infigo Customer Support for one. The installer comes with its own.

  1. Before you start

    • Your admin role must be able to open Connected Apps. For the difference between platform and storefront administrator accounts, see Your platform and storefront administrator accounts.
    • The installer you download by default is for Windows, so you need a Windows computer or server for Infigo Sync, and permission to install a service on it. For Linux or macOS, see Can I run Infigo Sync on a Mac or Linux? in Troubleshooting.
    • Your hot folders and print locations are set up (see Configuring Hot Folders and Print Locations, and Understanding Storefront-Based Hotfolder Configuration if you use more than one storefront): look under Configuration > Print Locations and Hotfolders. The installer asks you to choose a print location, so you need to know which one.
    • The Auto Copy to Hot Folder (Master Switch) setting, and the switch for the type of job you expect (for example Auto Copy Static Jobs to Hot Folder), are on. You find them under Configuration > Settings > Product and Editor Settings > Infigo Settings > Hot Folder Settings, so output files are copied to the hot folders. The video in Configuring Hot Folders and Print Locations shows the auto copy options.
    • You have created the folder the jobs should download into, on the computer that will run Infigo Sync or on a network location it can write to.
    • You are signed in to the admin area on the web address you normally use for it, not a test or temporary one. That address is built into the installer.
    • If Infigo Sync is already installed for the print location you plan to use, ask Infigo Customer Support before you install another, so the two do not clash.

  2. Open Connected Apps

    1. In the admin menu, click Configuration.
    2. Click Integrations / API to open its sub-menu.
    3. Click Connected Apps.

If you cannot see Connected Apps, your admin role does not have access to it. Ask an administrator who manages admin roles, or Infigo Customer Support.

The admin menu with Connected Apps highlighted in the Integrations / API sub-menu
  3. Click Download installer on the Infigo Sync card

On the Infigo Sync card, click Download installer. If there is no Infigo Sync card, installer downloads are not available on your platform yet: ask Infigo Customer Support. Ignore the other cards on the page. The API Key and Copy button on the InDesign card are not used for Infigo Sync. Do not click Rotate token there: after you confirm, it replaces the InDesign key straight away and cannot be undone.

The Infigo Sync card on the Connected Apps page with the Download installer button highlighted
  4. Check the Infigo Sync name

The Download Infigo Sync installer window opens with the Infigo Sync name field filled in with your storefront name. Keep it, or type a name that tells you which Infigo Sync installation it is for. The installer shows this as the Instance name, and it becomes part of the Windows service name. Use a different name for each installation. Use letters and numbers only, with no spaces or symbols: other characters are removed as you type. The Windows button stays greyed out until the field contains a name.

The Download Infigo Sync installer window with the name field
  5. Click Windows to download the installer

Under Operating system, click Windows. A Preparing your installer message appears while the installer is built, which can take up to two minutes: do not click away. Your browser then downloads a zip file named InfigoSync-Installer-windows.zip, the window closes and the message Your installer is ready. appears at the bottom of the page. If you see Could not build the installer. Please try again., try again, and ask Infigo Customer Support if it keeps happening. Each download creates a new key, so download once for each Infigo Sync installation. Run the installer within about 30 days: a key that is never used is removed after about 30 days.

The Windows button highlighted in the download window
  6. Run the installer on the Infigo Sync computer

    1. Copy the zip file to the computer that will run Infigo Sync and extract it.
    2. Run the installer program from the extracted files: its name starts with InfigoSync and it ends in .exe. It may be inside a folder. If Windows asks you to confirm, or shows a security warning, ask your IT team to approve it.

The zip and the files you extract from it contain a key to your storefront. Treat them like a password. If your IT team does the installation, give it to them in a way they approve, not by ordinary email. Once Infigo Sync is installed, delete the zip and the extracted files, including copies in your Downloads folder and the Recycle Bin.

  7. Choose where the files go

The Infigo Sync Installer opens on Sync connection. The Instance name, API Token and Platform URL are already filled in, so you do not type a key. (The screenshots show a placeholder address, not a real one.) Click Browse next to Download Location and choose the folder where the jobs should be downloaded, or type or paste its path. Continue stays greyed out until you do. Ask your IT team before you choose a folder on another computer, because the service needs permission to write to it.

The Sync connection screen with an empty Download Location and a greyed-out Continue button
  8. Check the print location

Look at the Print Location list. It shows a print location already selected, for example Digital, which may not be the one you want. Choose the print location this Infigo Sync should download from: the names match the print locations under Configuration > Print Locations and Hotfolders. If the one you need is missing, check it is set up there.

  9. Test the connection and continue

Click Test connection. A green message such as Connected to followed by your storefront name shows the details work. Then click Continue. If the test fails, ask your IT team to allow outbound HTTPS to your storefront's web address.

The Sync connection screen filled in, with the Connected message and Continue button
  10. Confirm and install

The Confirm installation screen lists the instance, storefront, platform URL, download location, print location and install target (Windows). It asks whether you are sure you want to install Infigo Sync on this Windows computer. Check the settings, then click Install. Use Back to change anything.

The Confirm installation screen with the settings listed and the Install button
  11. Finish

When you see Installation complete, Infigo Sync has been installed and started as a Windows service. It appears in services.msc as Infigo Sync, and its service name starts with InfigoSync$ followed by your instance name. It starts automatically when the computer starts, so you do not need to start it yourself. To open services.msc, press the Windows key and R together, type it and press Enter. Click Finish, then delete the zip and the extracted files.

The Installation complete screen showing the service installed and running
  12. Check it is working

Place a paid test order for a product that goes to your print location. Infigo Sync checks every 30 seconds by default, so after the next check the files should appear in your download folder, usually in a folder named after the hot folder. In Shared Print Operations the job's status changes to Output Downloaded, as long as the file name follows the standard pattern, which it does by default. If nothing arrives, see Files are not downloading in Troubleshooting.

Lesson 3 of 6 | 8 min

Install with an API token (earlier method)

For an installer that did not come from Connected Apps, using an API token you already have.

Note

Use this lesson only if you cannot use the downloadable installer, for example because the Infigo Sync card is not shown. Ask Infigo Customer Support first. An Infigo Sync that was set up this way earlier keeps working: you do not need to reinstall it.

  1. Before you start

Set up your hot folders and print locations, choose a Windows computer you can install a service on, and create the download folder. The earlier installer runs on Windows only. You can start once Infigo Customer Support has sent you the API token.

  2. Get an API token

Ask Infigo Customer Support for an API token. The earlier installer calls it the API key. Say whether you want it created for one storefront or for the whole platform. Choose a storefront token if you can: a platform-level token works across every storefront. Do not send the token by ordinary email, and delete it from anywhere you pasted it once Infigo Sync is installed.

  3. Run the installer

Run the installer you were given on the Windows computer that will run Infigo Sync. If the installation is interrupted by antivirus software, Windows Security or a firewall, ask your IT team to allow the installer and its folder: do not switch security software off. Click Next and accept the terms and conditions.

  4. Enter the API key and your storefront address

Paste the token into the Infigo API Key field. Enter the full web address of your storefront. Click Next: the installer then looks up your print locations.

  5. Choose the print location and download folder

Choose the print location this Infigo Sync should download from, set the folder the jobs are copied into, and finish the installation.

  6. Start the service

With this method the service does not start by itself. Open Services on the computer (services.msc) and find Infigo Sync. On older installations the service may show an earlier name: look for the one that belongs to Infigo Sync, or ask Infigo Customer Support. Start the service. New jobs then appear in your download folder.

  7. Check it is working

Place a test order that goes to your print location. After the next check (every 30 seconds by default) the files should appear in your download folder, usually in a folder named after the hot folder. If nothing arrives, see Files are not downloading in Troubleshooting.

Set it up

Lesson 4 of 6 | 4 min

Control where files go

Sort the downloads into sub-folders and make sure job status updates reach Shared Print Operations.

  1. Match hot folders to your folders

Infigo Sync creates a folder inside your download location for each hot folder, using the hot folder's name. Hot folders are set up in the admin area: for background, see Hotfolders and Print Locations (a written explanation of how hot folders and print locations work).

  2. Use one level of sub-folders

You can send different outputs to different sub-folders, based on the product, where the customer is or other criteria. Only one level of sub-folders is supported.

  3. Check your file names

By default Infigo names output files in the standard way, so there is nothing to set up. Look at this only if someone has changed how files are named. Go to Configuration > Settings > Product and Editor Settings > Infigo Settings, in the Output File Management section. Use Custom File Name Template is off unless it has been switched on. While it is off, the standard name is used: a type letter, the order number, the job number, then the customer's user name, the product name and the date and time. If it is on, the Output File Name Template setting decides the names, and it must start with %TypeLetter%_%OrderID%_%JobID%_ for Infigo Sync to work (the setting shows a warning to say so). Check the template before you save it: the template that is filled in to start with may not have underscores between those three parts, and without them job status does not update. The template should also make every name unique. Job tickets, packing slips and invoices are not named by this template: they have their own file name settings on the Print Locations and Hotfolders page. If you change the job ticket name, keep its standard start so Infigo Sync can mark job tickets as downloaded.

  4. Use one print location per instance

Infigo Sync downloads from one print location. If you want files from several print locations, run more than one instance: see Run more than one instance.

  5. Look in Shared Print Operations

To see which hot folder a job went into, open the job in Shared Print Operations and look at the PrintLocation / Hot Folders section. You can copy it to another hot folder from there.

Lesson 5 of 6 | 10 min

Run more than one instance

Download from a second print location or platform with another Infigo Sync.

Note

Installed with the downloadable installer? Ask Infigo Customer Support to confirm the steps for adding a second instance on the same computer before you start. The steps below are for earlier installations made with an API token. They are for administrators who are comfortable editing a settings file. A copied folder keeps the same API key as the original: ask Infigo Customer Support if you need a separate key.

  1. Find the installation

You need Infigo Sync already installed from the earlier installer. It is usually in a folder inside Program Files (x86) on the C drive.

  2. Copy the folder

Copy the whole Infigo Sync folder and paste it into the same folder or somewhere else.

  3. Edit the settings file

In the copy, open the Infigo Sync settings file (in the copied folder) in a text editor and change what the new instance needs: the synchronisation interval, the address of the platform, the download folder, and the print location. Leave any optional settings you do not use as they are. Ask Infigo Customer Support if you are unsure which setting is which.

  4. Start the new instance

Start the Infigo Sync program from the copied folder by hand. To make it a Windows service, ask Infigo Customer Support for the command for your installation.

Keep it secure

Lesson 6 of 6 | 3 min

Keep Infigo Sync secure

Know how Infigo Sync connects, and how to look after its key.

  1. It only connects outwards

Infigo Sync does not accept incoming connections, so you do not open any inbound firewall ports. It connects out over HTTPS to your storefront's web address. The installer also needs internet access while it runs. Your IT team can allow outbound access to that web address and log it like any other outbound traffic.

  2. Each installer has its own key

Every installer you download from Connected Apps has its own API key built in. The key can be used as soon as you download it. Infigo Sync marks it as in use the first time it connects. A key that is never used is removed after about 30 days, so run the installer soon after you download it, or download a new one. A key that is in use does not expire.

  3. Treat the zip and the extracted files like a password

The zip and the files you extract from it contain a key to your storefront. Do not email or share them in an unapproved way. Once Infigo Sync is installed, delete the zip and the extracted files, including copies in your Downloads folder and the Recycle Bin. The key is stored in the Infigo Sync settings on the computer that runs it, so only people you trust should have administrator access to that computer.

  4. If a key may have been exposed

Remove the key, then download a new installer and install it again. If your role can edit API tokens, open Configuration > Integrations / API > API Tokens, find the key (its Type is Infigo Sync and its name is the Infigo Sync name), click Edit, then Delete. Keys that have never been used are hidden from most administrators, so if you cannot see it, or your role cannot edit API tokens, contact Infigo Customer Support. Infigo Sync keys are not shown in Connected Apps and cannot be rotated there. Contact Infigo Customer Support too if you downloaded an installer but did not finish installing it.

  5. A key can only do what Infigo Sync needs

An Infigo Sync key can reach only the storefront functions Infigo Sync needs. Download one installer for each Infigo Sync installation and give each a name that says which computer it is for.

  6. Ask if your IT team has questions

If your IT team needs more detail about how Infigo Sync communicates or authenticates, contact Infigo Customer Support.

Troubleshooting

Something not working? Search for your problem, or pick a question below.

Installing

I cannot see the Infigo Sync card, or Download installer is missing

First check that Connected Apps appears under Configuration > Integrations / API. If it does not, your admin role cannot open it: ask an administrator who can change admin roles. If Connected Apps opens but there is no Infigo Sync card, installer downloads are not available on your platform yet. Ask Infigo Customer Support. If the card is there but the download window has no Windows button, Windows installers are not switched on: ask Infigo Customer Support.

The Windows button is greyed out in the download window

The Windows button stays greyed out until the Infigo Sync name field contains at least one letter or number. Type a name using letters and numbers only: other characters are removed as you type.

I see Could not build the installer

Try the download again. The installer is built while you wait, so allow a moment for it. If the message appears again, ask Infigo Customer Support.

Continue is greyed out in the installer

On the Sync connection screen, Continue stays greyed out until you have chosen a Download Location. Click Browse and pick the folder where the jobs should be downloaded.

Test connection fails in the installer

Ask your IT team to allow outbound HTTPS from this computer to your storefront's web address, which is the Platform URL shown in the installer. The installer also needs internet access while it runs. If the test still fails, ask Infigo Customer Support.

My installer does not connect, or I downloaded it a long time ago

A key that has never been used is removed after about 30 days, and an older installer then cannot connect. Download a new installer from Connected Apps and run that. Each download creates a new key. Keys from installers you never used are removed automatically after about 30 days. If you want one removed sooner, ask Infigo Customer Support.

The earlier installer says the setup wizard ended prematurely

This message comes from the earlier installer. It usually happens when another program interrupts the installation, often antivirus software or Windows Security. Ask your IT team to allow the installer and its folder, rather than switching security software off, and try running the installer as an administrator.

Can I run Infigo Sync on a Mac or Linux?

The installer you download from Connected Apps is for Windows by default.

  • Linux: Infigo Sync has supported Linux since August 2024.
  • macOS: a macOS installer exists, but it has not been fully tested, so try it on a test order before you rely on it.
  • Getting the installer: the Linux and macOS installers are not switched on by default. Ask Infigo Customer Support to switch on the one you need. Once it is on, the Download Infigo Sync installer window shows a button for that system next to Windows, and the download works the same way: the name, the key and your storefront address are built in. The installer opens a window, as the Windows one does.
  • Before you install: ask Infigo Customer Support which versions and processor types are supported, and where Infigo Sync keeps its log and settings on that system. If the computer has no desktop, ask how to install it.
  • Another way: on a Mac or Linux computer you can run Windows in a virtual machine, for example Parallels Desktop on a Mac, and install Infigo Sync in Windows as in Download and run the installer. Infigo Sync then runs while the virtual machine is running.

Hot folders, print locations and the status updates in Shared Print Operations work the same way whichever system Infigo Sync runs on.

I think an installer or key has been shared by mistake

Remove the key, then download a new installer from Connected Apps and install it again. Delete the old zip and extracted files, including copies in Downloads and the Recycle Bin.

Files and folders

I want to use a network folder, or move Infigo Sync to another computer

Ask your IT team to give the service account access to the folder, using the full network path. To move Infigo Sync to a new computer, ask Infigo Customer Support before you start, so the old and new installations do not clash.

Files are not downloading
  1. Check the hot folder mapping: Configuration > Print Locations and Hotfolders, select the hot folder, click Edit mapping and confirm it is mapped to the right targets, then save.
  2. Check the mapping targets themselves. If you map by tag, make sure the tags are on the right products. If you map by customer role, make sure the customers have that role.
  3. Check the Auto Copy to Hot Folder (Master Switch) setting, and the switch for the type of job you expect (for example Auto Copy Static Jobs to Hot Folder), are on (you find them under Configuration > Settings > Product and Editor Settings > Infigo Settings > Hot Folder Settings). If either is off, output files are not copied to the hot folders.
  4. Check Infigo Sync is running on a Windows computer: in services.msc, find Infigo Sync (on newer installations the service name starts with InfigoSync$ followed by your instance name).
  5. Check Infigo Sync is set to the print location you expect. The installer shows one already selected, which may not be the right one.
  6. Place a test order and refresh Shared Print Operations. In HotFolder means the storefront has put the file in the hot folder. Output Downloaded means Infigo Sync has collected it.
  7. Check the Infigo Sync log for errors. If it shows a connection or handshake error, see Connection errors after a storefront was deactivated.
The job status does not update in Shared Print Operations

Files download whatever they are called, but the status only updates if the file name starts with the type letter, the order number and the job number. Infigo names files this way by default. If the status is not updating, check whether someone has switched on a custom name. Go to Configuration > Settings > Product and Editor Settings > Infigo Settings, in the Output File Management section. If Use Custom File Name Template is on, make sure Output File Name Template starts with %TypeLetter%_%OrderID%_%JobID%_ (check for the underscores between the three parts: the template that is filled in to start with may not have them), or switch Use Custom File Name Template off to go back to the standard names.

Files from other storefronts appear in my hot folders
  1. In Configuration > Print Locations and Hotfolders, check each hot folder is mapped to the right print location and storefront. Do not share hot folders between storefronts unless you mean to. You may need to recreate them at storefront level.
  2. If several storefronts share one print location, create a separate print location for each.
  3. Place a new order on one storefront and confirm only the intended hot folder gets its files. Manage content shows the output files in each hot folder, and Shared Print Operations shows where each job went.
Lots of old orders downloaded when I switched Infigo Sync on

With Auto Copy to Hot Folder (Master Switch) on, all open orders are copied, not only new ones. Orders stay open until they are marked Completed or Cancelled.

  1. Turn off Auto Copy to Hot Folder (Master Switch) first, so no more old orders are copied.
  2. In Sales > Orders, filter for the old orders. Check first whether changing an order's status sends an email to the customer.
  3. Change their status, preferably to Completed. You can update many at once from the main orders screen. The order data is kept.
  4. Turn Auto Copy to Hot Folder (Master Switch) back on only if you want open orders copied automatically.
I want one hot folder for several storefronts

A single hot folder for several storefronts is not supported. Create a separate hot folder on each storefront, with a unique name such as StorefrontA_EventLabel, and map the targets on each storefront. If managing several is impractical, your IT team could write a script that collects the files from each folder into one directory. That is custom work and is not provided by Infigo Sync.

I cannot open the downloaded files (security error)

Check in services.msc whether the Infigo Sync service runs as System or as a specific user account. When it runs as System, Windows sometimes does not give users default permissions on the files, so people cannot open them. Ask your IT team to give the right people or groups read and write access to the download folder: that is better than running the service as an administrator account. Also try opening the folder from another computer or user account to see whether the problem is only with one user.

The service

The service will not start, or I get a log-on error
  1. Press Win + R, type services.msc and press Enter. Find Infigo Sync and try to start it. If a log-on failure appears, carry on.
  2. Stop the Infigo Sync service. Look in the hot folder for a .lock file. If there is one, check it is old and no job is being processed, then remove it. If you are not sure, ask Infigo Customer Support.
  3. Right-click the service, choose Properties and open the Log On tab. If it can be edited, ask your IT team to choose a dedicated service account for it: one that can read and write the hot folder, the download folder and the output folder, has the Log on as a service right, and has a password that does not expire. Select This account, enter it, apply it and restart the service. Run whoami in Command Prompt to confirm the current user name.
  4. If the Log On fields are greyed out, you are probably not signed in as a local administrator. Ask your IT team.

Contact Infigo Customer Support if it still fails, or if files stay stuck even though the permissions are right. Send a screenshot of the service error, a screenshot of the Log On tab and the relevant lines from the Infigo Sync log.

Connection errors after a storefront was deactivated

If Infigo Sync stops downloading and its log repeats The underlying connection was closed or The handshake failed due to an unexpected packet format, the platform address it uses may have been tied to a storefront that has since been deactivated. Restarting the service does not fix it, and reinstalling does not either.

  1. Check the platform address in the Infigo Sync settings is still right.
  2. If a storefront the address was tied to has been deactivated or deleted, contact Infigo Customer Support. Send the Infigo Sync log. If they ask for the settings file, remove the API key line first: it is a secret.
  3. While you have their help, check each hot folder's mapping is set up for a storefront that still exists.
  4. Restart the service after any change and place a test order.
How do I check what Infigo Sync has done?

There is no screen in the admin area for files downloaded by Infigo Sync. Check the Infigo Sync error log (infigosync.log). If it shows no errors, the files were transferred. On installations made with the earlier installer, these are typically in the Infigo Sync folder inside Program Files (x86) and on the C drive. If you used the downloadable installer and cannot find them, ask Infigo Customer Support.
